GRANTS SPECIALIST

Reports to: Senior Grants & Planning Manager
Status: Regular, Full-time, Exempt
Location: Anchorage, AK

JOB SUMMARY: The Grant Specialist supports Aleut’s grant-funded projects by managing logistics, reporting, and compliance throughout the grant lifecycle. Reporting to the Senior Grants and Planning Manager, this role ensures accurate tracking of funds, timely reporting, and alignment with Aleut’s values of transparency, accountability, and rigor.

PRIMARY RESPONSIBILITIES

  • Champion Aleut values: accountability, transparency, and rigor. 
  • Coordinate and manage activities of diverse, grant-funded projects in collaboration with project teams.
  • Regularly communicate project status, updates, and progress to the Senior Grants and Planning Manager and other stakeholders.
  • Oversee the logistics, reporting, and execution of grant-funded projects to ensure timely and accurate completion.
  • Monitor project scope, timelines, and budgets; provide feedback and guidance to project teams as needed.
  • Ensure appropriate use of programmatic funds within the parameters of awarded grants.
  • Collaborate with Aleut’s legal team and Senior Grants & Planning Manager to maintain compliance with all applicable regulations, policies, and procedures.
  • Maintain accurate and organized grant files, including all communications with grant-making agencies.
  • Manage tracking systems for grant budgets and narrative reporting.
  • Partner with the finance department to ensure proper tracking, reconciliation, and reporting of grant funds.
  • Coordinate with vendors to ensure proper bid processes are followed and assist with project execution.
  • Ensure timely and cost-effective reporting of grant awards and project closeouts.
  • Perform other duties as assigned.

KNOWLEDGE, SKILLS, AND ABILITIES

  • Excellent oral and written communication skills, including technical writing, proper grammar, spelling, editing, and proofreading.
  • Proficient computer skills in Microsoft applications (i.e., excel, word, power point, etc.)
  • Understanding of budgeting, financial reconciliation, and cost-tracking related to grant-funded projects. 
  • Familiarity with federal, state, and private funding guidelines and procedures. 
  • Skill in establishing relationships like working with corporate management, managers, co-workers, and outside contacts. 
  • Maintain a high level of accuracy and attention to detail in preparing information. 
  • Possess strong analytical skills to review, evaluate, and synthesize information.
  • High level of organizational skills, as well as time management and ability to work under pressure.
  • Maintain a high degree of confidentiality, integrity, and tact in dealing with sensitive information. 
  • Problem solving and demonstrating initiative to improve process, procedures, etc. 
  • Possess and demonstrate cultural awareness and sensitivity, respect, flexibility, and sound work ethics.
  • Excellent communication and networking skills, including the ability to build relationships with diverse stakeholders.

MINIMUM QUALIFICATIONS

  1. Bachelor’s degree in business administration, finance, public administration, public policy or related field; OR equivalent combination of experience, education, and/or training.
  2. Two (2) years’ experience working in and/or managing a Grant program or related work.

PREFERED QUALIFICATIONS

  1. Experience working with Alaska Native Corporations.
