Join us at LIFE PACE, where your skills in medical records management will directly impact lives, not just files. As part of our PACE (Program of All-Inclusive Care for the Elderly) team, you’ll help provide primary care and support services that allow Tulsa’s aging population to remain safely in their homes.
This isn’t your typical Medical Records Clerk role. As part of our PACE Clinic, you’ll be an essential member of a team that cares for our most vulnerable population. You’ll manage and organize medical records, but you’ll also play a key role in supporting care continuity, coordinating with providers and hospitals, and ensuring participants receive timely, compassionate support. Success in this role requires strong organization, excellent time management, and the ability to work well as part of a collaborative team.
We’re looking for someone who is detail-oriented, reliable, and professional—yet also warm, friendly, and motivated by a true desire to make a difference in the lives of older adults.
Key Responsibilities
- Maintain one comprehensive, accurate, and well-organized medical record for each participant.
- Upload physician, specialist, and hospital reports into the EHR system; scan and file documents promptly and correctly.
- Ensure all EHR entries are accurate, timely, and compliant with HIPAA and state/federal regulations.
- Coordinate medical record transfers between facilities to ensure seamless care.
- Assist with outside appointment scheduling, transportation coordination, and participant reminders.
- Actively seek out and secure medical records related to hospitalizations, SNF stays, or outside appointments.
- Work closely with the interdisciplinary team to keep participant records accurate and complete.
- Contribute to team meetings, projects, and quality initiatives.
Requirements
What You Bring
- High School diploma or equivalent required.
- At least 1 year of experience working in a busy medical office with EMR systems.
- Experience with the elderly population preferred.
- Scheduling experience a plus.
- Strong organizational skills, time management, and ability to prioritize in a fast-paced environment.
- Team-oriented approach with strong communication and confidentiality skills.
