Job Summary:

This individual is assigned the responsibility of assisting the Director of medical staff services with all aspects of the credentialing and maintenance of files for medical staff and allied health practitioners.

Responsibilities:      

The Medical Staff Office Administrative & Academic Coordinator is responsible for supporting the various administrative tasks associated with the work of the Medical Staff Office.  This includes but is not limited to the following functions:

1.      Academic Appointments: Mount Sinai Medical Center has developed an internal academic ranking system.  The MSO Administrative Assistant will support the Academic appointment and promotion cycle through the following tasks:

a.      For Initial Appointments and Promotions ensure the completion of application via electronic system of all new medical staff members and any faculty requesting promotion after approval by Chief of Chair

b.      Ensure that faculty candidate’s identified referees receive and return letters of recommendation

c.       Organize faculty candidate files for review by Academic Appointments and Promotion Committee

d.      Schedule Meetings of the Academic Appointments and Promotion Committee

e.      Maintain Academic Appointment and Promotion Committee attendance, and membership

f.        Draft, and maintain Committee meeting minutes, in approved format, ensuring recommendations and actions are recorded, within the approved format

g.      Complete Decision Letters and send to faculty and associated Chief/Chair

h.      Assist Chair of Academic Appointment and Promotions Committee with any dispute process

i.        Maintain and Update Faculty Handbook

j.        Maintain and Update Electronic Academic Appointment System

2.      Ongoing Professional Practice Evaluation/ Focused Professional Practice Evaluation (OPPE/FPPE): will support the Medical Staff Office in the design, implementation, and ongoing management of the Ongoing & Focused Professional Practice Evaluation (OPPE/FPPE) process using the designated electronic platform. This role ensures accurate, timely, and compliant data workflows that align with hospital regulatory and accreditation standards and hospital quality goals

a.      Configure and maintain electronic dashboards and data feeds to support OPPE/FPPE tracking for all privileged providers across departments and specialties.

b.      Monitor data integrity and timeliness, conducting routine audits of system reports and escalating discrepancies or data gaps to IT or clinical leadership.

c.       Generate, distribute, and track OPPE/FPPE reports on a routine basis to ensure compliance with bylaws, hospital regulatory and accreditation requirements, and internal credentialing cycles.

d.      Serve as the liaison between the Medical Staff Office, Quality Improvement, IT, and MSO system support, facilitating training, troubleshooting, and enhancement requests.

3.      Administrative Responsibilities:

a.      Assist with scheduling and coordinating meetings related to Medical Staff function and operations

b.      Support Medical staff and Advanced Practice Providers with requests

c.       Provider administrative support for MSO

d.      Generating and distributing reports to various internal and external departments and approved regulatory and accrediting agencies.

e.      Provide support on department projects and clerical activities, including scanning faxed/hard copy reports to the office email

f.        Serves as a liaison between staff, management and other department on day-to-day issues

g.      Coordinates and oversees function related or administrative projects on an on going basis.

h.      Coordinates the day-to-day activities for the assigned team. Arranges team efforts in order to accomplish target projects and activities meeting timeline and specified requirements.

i.        Provides counsel to other team members on projects, initiatives, and deadlines, as appropriate. Acts as a guide for departmental practices and policies.

j.        Gathers information and conducts research on special projects as required by the department.

k.       Keeps track, evaluates, and provides feedback on assigned projects. Monitors implementation and outcome of programs or projects as required.

l.        Provides direct assistance to the Manager and Director as requested.  Ensures the implementation of administrative duties as assigned by the Director or Manager.

m.    Establishes and maintains effective interpersonal relationships with co-workers and other members of the hospital.

n.      Actively participates in regulatory audits

 

Minimum Requirements:

  • High School diploma.  Bachelor’s Degree preferred
  • Certification in Medical Staff Services preferred
  • Minimum of 1 year experience in Medical Staff credentialing.
  • Must be proficient in written and oral English, have strong computer skills and be able to compose correspondence and reports on own initiative.  
  • Must have the ability to compose correspondence, statistics, and reports on own initiative and/or from briefing on the subject and purpose. 
  • Foundational knowledge of hospital regulatory and accreditation agencies and requirements.
  • Knowledge of / or experience is academic appointments, within a teaching hospital
  • MSO/MSSO, GME preferred
