Department: Student Support Services TRIO Program                     

Reports To: Director of Student Support Services – IMPACT (TRIO Grant)

 

Job Summary:

The TRIO Program Specialist position is responsible for performing customer service, social media use, maintaining program files, data entry, academic event planning, and career services programming within the TRIO Program. In addition, the position maintains accurate information that will assist in producing the annual performance report. This is a full-time 11-month position with one month off for the summer (mid-June to mid-July) with a typical work schedule Monday – Friday 7:30 am to 3:30 pm.  Some weeks may require additional work hours based upon scheduled events and activities.

Position Duties:

  • Prepare letters, memorandums, grants, manuals, and other correspondence for the program.
  • Maintain files on all program participants.
  • Provide program information to those inquiring by phone or in the program office.
  • Operate the computerized tracking system, inputting detailed and accurate information to be used for the annual performance report.
  • Assist the Director with the Annual Performance Report submission.
  • Keep minutes and other documentation required for project administration.
  • Manage all aspects of the IMPACT program's social media, including web pages.
  • Assist IMPACT students in the computer lab.
  • Answer telephone and greet visitors.
  • Assist with the gathering, verifying, and inputting of information pertaining to grant proposals, budgets, and reports.
  • Assist with recruiting and retention efforts of the program.
  • Maintain courteous, professional, and effective working relationships with employees, vendors, and/or any other representatives of external organizations.
  • Maintain program and supply inventories.
  • Assist in the administration of the ACES program and its components.
  • Comply with all College policies and procedures.
  • Assist the Director of IMPACT Programs by performing other related duties as assigned.

Required Knowledge and Skills:

Knowledge in academic success activities.

  • Knowledge in resume writing and interview skills.
  • Knowledge of office practices, procedures and methods.
  • Knowledge of MS Word and Excel, Internet, e-mail.
  • Knowledge of social media platforms and marketing value.
  • Ability to work independently, as well as on a team.
  • Ability to work and maintain the highest level of confidentiality.
  • Good communication skills, both written and spoken.
  • Ability to organize and prioritize work. Work well under deadline pressures.
  • Excellent human relations skills. Ability to work with individuals from a variety of backgrounds and diverse populations.
  • Understanding of and commitment to the Academic Quality Improvement Program.

Required Education Background:

  • Associate’s Degree required.
  • Bachelor’s Degree preferred. 

Required Experience:

 
  • Demonstrated ability in using software programs, including word processing, database, and spreadsheet applications. Must have experience with using social media platforms.
  • Minimum of 2 years of office experience with emphasis in event planning and leadership.
  • Preference is given to individuals who have overcome barriers like those confronting the project’s target population.
  • Must have a current, valid driver’s license with a clean driving record.

 Supervisory Requirements: None.

Physical Requirements:

Ability to sit or stand for extended periods of time; ability to move freely around the campus and outreach centers; ability to lift up to 20 pounds; ability to bend, stoop, reach, and grasp as required to perform responsibilities; ability to drive a motor vehicle; and ability to work on the computer for long periods of time. 

Work Environment:

Work is performed in an office environment, classroom, and around campus.  Will attend and lead activities away from campus at community locations.  Must be able to safely drive College vehicles with passengers.
