As the key employee liaison between the Regional and District Manager role and KWPM services & internal support staff, the Standard of Excellence Administrative Assistant must perform the job duties with a view toward projecting a professional and competent image: Service to the customer in a friendly and outgoing manner is essential, while timeliness and professional appearance are key. The position is fundamental to the administrative and operational functions of the Company and as such requires established organizational skills, with attention to detail and solid time management, and good interpersonal skills.

Duties and Essential Functions

  • Assist in the daily operation of administrative duties following established Company procedures and guidelines.
  • Perform administrative assistant functions including but not limited to: record keeping, filing, mail collection and distribution, word processing, data entry, maintain and replenish office supplies, and other essential needs as required.
  • Maintain, update, type, and coordinate account information in respective databases.
  • Monitor overall Standards of Excellence reporting.
  • Review Website for respective properties and determine if information is current and in accordance with KWPMC standards.
  • Determine if each property is following proper payroll procedures.
  • Access KWPMC Technology and determine if each property is using KWPMC technology (KWIC, KWPM Lynk, Newton, Paycor, Jenark, etc.…).
  • Review the meeting minutes and meeting agendas by property and determine whether information is being uploaded and kept current.
  • Review the action plan template for each property and determine if the property meets the standards for proper action plan documentation.
  • Review monthly Property Manager report and determine whether follows KWPMC standard operating procedure.
  • Communicate via e-mail staffing changes internally and externally (after-hour service). Review KWPM Lynk to determine whether the property information in KWPM Lynk is current.
  • Verify that property inspection per property is complete.
  • Verify that all property insurance information is uploaded in KWPM Lynk.
  • Depending on the time of the year, verify that Budget, Year-end Review and Hurricane Procedures are complete.
  • Prepare Monthly Property score card, list of deficiencies and power point presentation

Work Environment

This position will be located indoors and in an office setting.

The employee is occasionally required to sit, stand, reach, lift, bend, kneel, stoop, climb, push and pull items weighing 20 pounds or less. The position requires manual dexterity; auditory and visual skills; and the ability to follow written and oral instructions and procedures.

Position Type/Expected Hours of Work

This is a full-time non-exempt (hourly) position. Days and hours of work will be Monday- Friday; 8:30-5:30. This schedule may change to accommodate the business needs of the company.

Travel

Minimal travel will be required for this position.  Travel will generally be to attend meetings and trainings at an off-site location, generally within the city limits of the property.

Required Education and Experience

  • HS Diploma or GED; Preferred education; Bachelor’s degree
  • Prior experience in a related role/position; a minimum of 2 years of experience.
  • Working knowledge of computer and associated programs; MS Office Suite.
  • Ability to multi-task, set, and manage priorities.
  • Excellent communication and listening skills to interact with a diverse and multi culture population.
  • Keyboarding ability with accuracy at 45-50 words per minute.
  • Must function in team organized environment.
