Job Summary
The Administrative Supervisor will provide high-level administrative and project management support to the Professor and Chair in the Department of Biochemistry and Biophysics. This position will also provide support to department leadership roles including the Vice Chairs and Chief Administrative Officer to ensure smooth operations of department business. The Administrative Supervisor will function with a high degree of independence and supports all areas related to the Chair’s responsibilities.
This position will multi-task effectively and independently in a fast-paced, high-volume, high-profile office with frequent critical deadlines and constantly shifting priorities. Communication and organizational skills must be exceptional.
The Supervisor will primarily assist in the following areas:
- Supervision of the Administrative Support Team (Faculty Assistants and the Events Coordinator)
- Oversee administrative support to the Chair for calendar management and drafting of written communication and letters for the Chair
- Manage and coordinate faculty appointments and promotions in the Department
- Supervise Administrative operations for the Chair and Department
- Oversee budget tracking for Department accounts and submission of a high volume of expense reimbursements
This position will require 2-3 days per week on-site at the Mission Bay Campus with the ability to work remotely the remaining 2-3 days.
The final salary and offer components are subject to additional approvals based on UC policy.
Your placement within the salary range is dependent on a number of factors including your work experience and internal equity within this position classification at UCSF. For positions that are represented by a labor union, placement within the salary range will be guided by the rules in the collective bargaining agreement.
The salary range for this position is $100,100 - $164,000 (Annual Rate).

Required Qualifications
- Bachelor's degree in related area and / or equivalent experience / training
- Minimum 5 years of related experience
- Solid knowledge of common organization-specific and other computer application programs
- Solid interpersonal skills including verbal and written communication, active listening, critical thinking, persuasiveness, advising, and counseling to effectively motivate others
- Solid skills to quickly evaluate complex issues and identify resolutions
- Solid organizational and customer service skills to effectively manage multiple priorities
- Solid knowledge of financial analysis and reporting techniques; human resources and risk management planning; accounting and payroll
- Solid knowledge of a variety of administrative operational activities such as event planning, basic fundraising processes, risk management planning, website design, accounting and payroll, and contracts and grants regulations and guidelines
- Ability to use discretion and maintain confidentiality
- Demonstrated skills in employee supervision and HR administration
Preferred Qualifications
- Solid knowledge of the organization's processes, protocols and procedures with a focus on budget, account and fund management and / or personnel management within labor contract(s) and personnel policy
