Mail Production Team
Mail Production is one of the six teams that comprise the Fundraising OPS Department, which supports critical fundraising functions for the Member Services Bureau (MSB) cooperative. Mail Production supports print production for MSB’s mail solicitation program, which delivers over 10 million solicitations annually on behalf of 50+ public media clients. Primary team functions include vendor coordination, cross-team communication, direct mail proofing, and inventory management.
Position Summary
In the Mail Production Coordinator role, you will play a key role in the execution of all MSB direct mail. You will be the primary production owner for Add Gift mail campaigns, serving as project coordinator and point of contact for the print vendor. You will also support your colleagues on other mail types and contribute to team-level projects, including ongoing process improvement. This is an entry level marketing position.
Key Responsibilities
- Project Coordination
- Coordinate all aspects of mail production for assigned campaigns
- Monitor the campaign timeline and proactively address potential delays
- Maintain mail quality standards and investigate all reported quality issues
- Collaborate with strategy, creative, data, and quality teams on cross-team deliverables
- Vendor Communication
- Serve as primary contact for the print vendor(s) for assigned campaigns, regularly communicating through meetings and email
- Place inventory orders, maintaining appropriate envelope stock for all stations at print vendor
- Proofing & Edit Coordination
- Coordinate the proofing process for assigned campaigns, distributing proofing assignments to team members and ensuring all letters are reviewed
- Assist with proofing for all direct mail campaigns, using both manual proofreading and proofing technology
- Compile and prioritize all edits identified in proofing
- Coordinate edit process between the internal designer and outside print vendor
- Cross-Training and Documentation
- Participate in cross-training, training colleagues to cover essential campaign functions and stepping in to assist with other mail types as needed
- Assist in creating and maintaining process documentation for assigned mail type
Qualifications
Required
- Excellent communication skills (written and verbal)
- Strong attention to detail and organizational skills
- High computer literacy
- Strong Microsoft Excel skills
- Strong problem-solving skills
- Proven ability to meet deadlines while balancing multiple projects
- Proficiency in proofreading
- Comfort working in collaborative and inclusive environments
Preferred
- Previous experience in print production, direct marketing, or public media fundraising
- Basic graphic design knowledge is a plus
- Familiarity with print production technology is a plus
- Passion for public media
- Experience in a non-profit or mission-driven organization
Educational Requirements
- Bachelor’s Degree or equivalent work experience preferred.
