Founded in 1958 as a children’s reading group, East Harlem Tutorial Program (EHTP) has grown into a dynamic multi-site after-school program for students in traditional public schools and a network of public charter schools dedicated to dramatically increasing the college graduation rate in East Harlem. We believe that all young people deserve access to an excellent education without having to leave their community. About the Opportunity
As a network of PK-12 schools, we have a steady flow of staff members, families, and students joining and moving on from our school communities. The operations director plays a key role in ensuring a consistent experience for both families and staff as they matriculate through our schools. Operations directors are the leaders in ensuring families have a number of joyful and informative touch points with the school and that students have events and trips to celebrate and extend their learning.
Who You Are
- You hold a bachelors or masters degree in finance, organizational management, business management, education leadership, or a related field.
- You have at least two years of experience working in operations in an educational institution.
- You are bilingual (fluent in English and Spanish) strongly preferred
- You communicate clearly and effectively both verbally and in writing with a diverse range of stakeholders.
- You have working knowledge of education codes and regulations, particularly around school safety and financial management.
- You hold yourself to high professional and ethical standards
- You enjoy and/or have experience working with diverse populations of students and communities
- You use data to drive improvements in operations and systems
- You are open to the excitement and challenges of a growing organization
- You have experience working with Google and Microsoft Suite
- You are eager to learn new systems and skills.
What Success Looks Like
School Operational Leadership
- Work with the leadership team to drive the school scheduling process.
- Create and maintain a system for staff coverage for both pre-planned time-off and in-the-moment absences, including substitute teacher requests and internal coverage.
- Create alternate schedules as needed, in collaboration with instructional leaders and inclusive learning leads.
- Collaborate with building principal and leaders to support the creation of a positive, accountable adult culture.
- Create systems for school staff to identify the need for and receive operational support (e.g. technology, facilities, materials, etc.)
- Lead staff professional development around key areas of school operations (e.g. safety, school operational systems, etc.)
- Collaborate with the Director of School Culture and Family Engagement around school incentive plans, student engagement events, field trips, and common picture systems such as arrival and dismissal.
- Collaborate with the Director of Inclusive Learning to ensure spacing and materials are prepared for IEP meetings, testing accommodations, and in-school interventions.
- Collaborate with APs on curriculum inventory, storage, and distribution as well as academic events and systems.
- Serve as school liaison with third-party school food vendor.
- Ensure family communication systems are in place, and appropriate school-wide notifications are sent and reach family members.
- Serve as school-based attendance team lead by planning team meetings and consistently monitoring student attendance data.
Staff and Student Technology
- Work with a third-party IT team to ensure staff and students have access to appropriate technology for instruction.
- Create systems of accountability for care for student and staff technology.
- Ensure school is technologically prepared for all assessments, including interim online assessments and state exams.
Financial Policies and Planning
- Work closely with the school principal to create values-aligned and fiscally sustainable annual budgets.
- Monitor operational spending and accurately update financial forecasts on a monthly basis.
- Work with the Managing Director of Operations to create long-term purchasing plans that anticipate equitably spread major expenses over time.
- Work with the Deputy Director of Finance to ensure all purchases are inventoried and tagged to appropriate funding streams.
- Support EHTP CFO with audit items including school purchasing and finances and student records
Facilities
- Manage space allocation and booking for all programming in the building, including updating floor plans according to program needs and enrollment, creating calendars for bookable spaces.
- Ensure consistent and joyful visual aesthetic throughout the school building.
- Align with the Director of Facilities and Managing Director of Operations on vision for safe, welcoming, joyful facilities and create systems to ensure daily quality control.
Operations Team Coaching and Development
- Work with school principals and Managing Director of Operations to identify professional development needs and trends across operations managers and associates on site.
- Provide ongoing feedback, support, customer service training, and accountability for operations associates and managers on site.
- Ensure that operations associates are accurately capturing and reporting daily attendance data.
- Supports operations manager in creating regular, accessible cadence of family engagement events and opportunities for family feedback and participation.
Campus Safety
- Serve as lead representative for the building emergency response team.
- Ensure staff and students receive appropriate ongoing training and practice for relevant safety scenarios, including evacuations, lockdowns, and medical crises.
- Schedule school safety drills in accordance with the Department of Education and Department of Early Childhood.
- Serve as liaison with campus safety agents (external or internal, depending on campus) to ensure student safety is consistently ensured.
- Manage any restricted access decisions and procedures on campus.
Compliance
- In partnership with Managing Director, Operations, ensure school is fully in compliance with DOH, DOE, DECE, NYSED, and SUNY regulations.
- Serve as point person for on-site visits for compliance agencies.
- Schedule and prepare staff for necessary inspections, audits, and reviews specific to each campus.
Student Recruitment:
- Partner with the Director of Student Recruitment and Engagement to identify community needs and characteristics to inform recruitment strategy.
- Support Director of Student Recruitment and Enrollment in scheduling and executing recruitment events.
