Description
Under general supervision of the Executive Services Sr. Manager (ESSM), provides professional level support in coordinating and managing administrative functions, assists in preparation of Board meeting materials, performs varied activities related to administrative support with the ESSM, and provides additional duties of a professional level as stated below.
This is a full-time exempt position with a starting salary of $50,382, with excellent benefits. Position is open until filled.
Schedule
Monday - Friday: 8:30 am - 5 pm
Job Duties (Essential Functions)
- Assists in daily office responsibilities and tasks relating to Administration and Executive Services including but not limited to preparing and authoring reports, memoranda, and other forms of communications.
- Financial responsibilities include preparing requisitions and processing accounts receivables for the Executive Services / Administration Department.
- Orders supplies for the Administrative Annex.
- Supports coordination and scheduling of meetings involving the full Executive Team and/or external partners.
- Supports the ESSM in maintaining electronic document storage, organizing displays, and disbursement of Board records.
- Coordinates employee library-related, out-of-area travel
- Primary administrative support for Annex during core business hours (8:30 am - 5 pm).
- Provides back-up support for Board Material preparation.
- Performs other related work and undertakes special projects as assigned.
Requirements
- Demonstrated ability to manage and coordinate complex, executive level administrative functions.
- Demonstrated ability to engage effectively with both staff and the public, consistently delivering high quality customer service.
- Demonstrated ability to effectively organize work, manage time, work within deadlines, manage projects, and coordinate operational activities.
- Advanced writing and proofreading skills with strong attention to detail.
- Advanced computer skills including, but not limited to, Microsoft Suite and cloud-based collaboration tools such as Teams and Zoom.
- Demonstrated experience with setting up and maintaining efficient and effective paper and electronic filing systems.
- Ability to speak and understand English is required, additional consideration will be given to individuals that are proficient in any non-English languages used in Jackson County, MO including Spanish, American Sign Language, Vietnamese, French, Arabic, and Swahili.
Required Education and Experience
- BA/ BS degree in Business Administration, Communications, Public Administration or related field AND 3-5 years experience in a professional level administrative support position.
- The degree requirement may be substituted with an additional 3 years' experience of working in an administrative support position.
- Experience providing executive level assistance is preferred.
- Knowledge related to government entity operations and requirements is highly preferred. (Example: Sunshine Laws, Public Postings, Board and Council Procedures, etc.).
Work Environment
Work is performed at a Library Administrative Annex in a shared/cubicle office environment. Other work will take place in public and private spaces throughout the Library and community sites with co-workers and patrons from a diverse socio-economic community.
