THE ORGANIZATION

A private nonprofit organization founded in 1973, Philadelphia Corporation for Aging (PCA) is a large agency that is part of the Area Agency on Aging (AAA) nationwide network. Founded as a result of the federal Older Americans Act, the AAAs are mandated to “facilitate the area-wide development and implementation of a comprehensive, coordinated system for providing long-term care in home and community-based settings, in a manner responsive to the needs and preferences of older individuals and their family caregivers.” PCA carries out this mission through advocacy, stewardship of public funding, planning, development and administration of programs, and service coordination.

Requirements

DEFINITION: Under the supervision and direction of the Meal Distribution Center Manager, is responsible for answering incoming phone calls, greeting and directing visitors and providing program and clerical support to the MDC Manager and staff at the Meal Distribution Center. This position also is also responsible for providing some back-up functions as required for MDC Program Coordinator and Administrative Assistant in their absence. 


Education & Experience

  • High School diploma or GED.
  • Two years’ relevant office/receptionist/secretarial experience.
  • Good communication skills required.
  • Knowledge of electronic office systems, including MS Office. Knowledge of Oracle preferred.


DUTIES AND FUNCTIONS:


  1. Monitors MDC security access buzzer. Greets visitors to the MDC, directs them to sign in, advises staff of their arrival, and escorts/directs them, if needed, to the appropriate location.
  2. Answers phones in a pleasant, courteous and professional manner and transfers calls to appropriate staff. Handles routine inquiries related to the home-delivered meal program, and consumer and other calls regarding meal deliveries. Routes phone calls to appropriate individuals.
  3. Reviews service orders for changes to meal care plans. Writes up order slips or cancellations as applicable.
  4. Records information related to changes to consumer meal deliveries, problems, and other issues in comments section of consumer’s record in Meal System.
  5. Plans for, coordinates, and tracks requests for consumer meal pick up by care manager or consumer’s relative/friend. Completes applicable paperwork, obtains necessary signatures, informs production staff of required meals.
  6. Receives, date stamps and distributes incoming mail and inter-office materials; routes outgoing mail and inter-office communications appropriately; photocopies and faxes documents as needed. Accepts delivery of small packages, equipment.
  7. Copies printed materials for distribution to consumer. Color-codes material by route/area of city. Counts out material and sorts by route and delivery day. Materials include: Nutrition Matters, holiday notices, no-answer notices, etc.
  8. Assists in reviewing redeliveries for missed meals, and writing them up for the following delivery day.
  9. Responsible for handling retro-active orders for consumers whose meal plans need to be activated. Completes a meal delivery slip for same-day delivery as needed.
  10. Performs and assists with miscellaneous clerical duties such as collating, stapling, folding, stuffing envelopes, filing, etc.
  11. Provides back-up for dispatch in Transportation office.
  12. Provides back-up functions for MDC Program Coordinator and Administrative Assistant in their absence, including LIFE meal consumer deliveries, dispatch and recording meal choice orders.
  13. Performs other general administrative and program duties as assigned.
