Under general direction, the Personal Trust Assistant works with the Trust Advisor to provide efficient trust and investment account administration and provide excellent client service. Provides administrative, client service and clerical support in the administration of a book of client relationships with frequent and direct client interaction.

Essential Responsibilities:

  • In partnership with Trust Advisors, assists with day-to-day administration of accounts, including client contact and relationship management; account setup and closing; account receipts, disbursements, and discretionary distributions; bill payment on behalf of clients and fiduciary accounts; and, correspondence, compliance reporting and oversight committee documentation.
  • Organizes and maintains client and account information, records, and files; prepares and maintains records, correspondence, forms, and other documentation; drafts, research and reviews letters, memos, records, files, and reports.
  • Corresponds and communicates with clients, prospects, centers of influence and company employees while maintaining a professional yet personable level of interaction.
  • Timely responds to and resolves internal and external client inquiries and requests as they relate to client account management.
  • Reviews daily transactions and audits postings of disbursements, receipts, income, etc., for accuracy and completeness. Monitors liquid cash position of each assigned account to ensure full investment position and prevent overdrafts. Determines available funds for cash-related transactions.
  • Performs administrative duties to assist where needed, including but not limited to gathering content, preparing materials for presentations, handling logistics for events/client meetings, assisting with estate administration and inventories and working offsite, and other miscellaneous assignments.
  • Maintains a very high level of confidentiality in all matters related to internal and external clients, prospects, and centers of influence.
  • May attend meetings with Company officer(s) and employees as necessary.
  • Accountable for the understanding of and adherence to operational controls, policies, procedures, and processes to ensure compliance with bank policies and related laws and regulations.
  • Performs other duties as required or assigned which are reasonably within the scope of the duties in this job classification.
  • Adheres to applicable federal laws, rules, and regulations including those related to Anti-Money Laundering (AML) and the Bank Secrecy Act (BSA).


Minimum Required Skills & Competencies:

  • High school diploma, GED
  • Knowledge of fiduciary principles, including knowledge of estate planning documents and administration topics.
  • Knowledge of general banking to effectively coordinate the delivery of a wide variety of banking solutions.
  • Intermediate level knowledge of MS Office with the ability to learn other job-specific software applications.
  • Strong written and oral communication skills and ability to distill and convey information in a compelling manner.
  • Detail oriented and able to maneuver competing demands while delivering a high-quality work product.
  • Skill in adopting technological advancements and facilitating into current and future responsibilities.
  • Ability to meet deadlines, function well under pressure, work independently, be self-motivated, flexible, and a quick learner.
  • Ability to work in fast-paced environment with a high volume of work and handle competing priorities, while delivering high-quality work product to business partners.
  • The ability to readily modify, respond to, and integrate change with minimal personal resistance.
  • Ability to anticipate, monitor, and meet the needs of customers (internal and external) and respond in an appropriate manner.

Desired Skills & Competencies:

  • Minimum of three years' experience in fiduciary administration or paralegal
  • Administrative assistant experience in Estate Planning or Trust is preferred

Physical Requirements:

  • Express or exchange ideas by means of the spoken word via email and verbally.
  • Exert up to 10 pounds of force occasionally, use your arms and legs, and sit most of the time.
  • Have close visual acuity to perform activities such as analyzing data, viewing a computer terminal, reading, and preparing documentation.
  • Not substantially exposed to adverse environmental conditions.
