General Summary

The Shop Administrator plays a vital role in supporting Sunrock’s maintenance management program by processing and maintaining documentation, preparing essential reports, and providing administrative and communication support to ensure accurate and efficient workflow.

This role requires good judgment, attention to detail, and strong organizational skills. Work is generally performed independently within established procedures, with occasional supervisory review.

  • Typical hours: Monday – Friday, 8:00 AM to 5:00 PM (occasional overtime may be required).

  • Minimal overnight travel (up to 10%).

Essential Duties & Responsibilities

Safety & Compliance

  • Comply with all company safety policies, practices, and procedures.

  • Report unsafe conditions immediately to supervisor or Safety & Health Manager.

  • Maintain a clean and orderly work area in compliance with Sunrock, MSHA, and OSHA standards.

Administrative & System Management

  • Serve as custodian of the Computerized Maintenance Management Information System (CMMIS) to ensure accuracy of work orders, mechanic time, purchase orders, and requisitions.

  • Review and control all data entry to improve system credibility and reliability.

  • Close jobs to equipment history and correct accounts; resolve daily transaction issues.

  • Prepare purchase requisitions/orders, acquisition documents, and repair orders for in-house fabrication.

  • Maintain accurate equipment records and post vital information for maintenance tracking.

  • Support parts inventory management, including receiving, stocking, picking, and cycle counts.

  • Administer records retention and destruction procedures according to company policy.

Reporting & Analysis

  • Prepare and distribute accurate management reports and statistical information to track maintenance effectiveness.

  • Maintain PM (Preventive Maintenance) repair order control systems and assist with Tenna digital transition.

  • Support budgetary preparation and analysis by providing historical cost data and cost-trend reports.

  • Recommend system improvements and process efficiencies.

Collaboration & Support

  • Work closely with maintenance staff, visiting plants as needed to better understand equipment and processes.

  • Assist with inventory control and reporting.

  • Provide leadership to others through example and knowledge-sharing.

  • Perform additional duties as assigned.

Education & Experience

  • Associate’s degree required (A.A. or equivalent from a two-year college or technical school).

  • 6 months to 1 year of related experience preferred.

  • Other combinations of education and experience may be considered.

Certificates, Licenses, & Registrations

  • Valid North Carolina Driver’s License required.

Knowledge, Skills & Abilities

  • Strong English communication skills—able to read, write, and present effectively.

  • Solid math skills, including the ability to compute rates, ratios, and percentages and interpret graphs.

  • Ability to follow written, oral, and diagram instructions and solve practical problems.

  • High proficiency in reporting and computer systems (Excel, Word, Crystal Reports, Google Docs, database management, and month-end reporting).

  • Strong organizational skills with the ability to handle multiple tasks simultaneously.

  • Collaborative, team-oriented mindset with strong interpersonal skills.

Physical Demands

  • Primarily a sedentary role involving administrative and computer-based tasks.
