Virtuoso is seeking a highly skilled and creative Global Event Producer to produce and deliver the creative staging and content of world-class events that embody the Virtuoso brand. This role operates in a highly matrixed environment, reporting to the Global Events team while working together with Strategic Communications, Marketing, Creative Services, regional leadership, and other divisions as needed, to ensure every event is impactful, on-message, resonant and to time with creative and technical execution reflective of Virtuoso’s global excellence.

 

The Global Event Producer serves as the central orchestrator of event content, themes, and flows, ensuring consistency and quality across flagship global events as well as supporting regions with frameworks and guidance for regional events. This role balances hands-on production responsibilities with management oversight.

  

Essential duties and responsibilities include the following. Other duties may be assigned.

  1. Creative Production & Content Coordination:
    1. Partner with Strategic Communications and Marketing/Creative team to develop Event Briefs that define creative theming, messaging, content outcomes and key production requirements.
    2. Collaborate with the Office of the CEO, Strategic Communications, Marketing and regional teams to ensure key themes and working narratives are translated into show flows and production plans.
    3. Support speaker management including briefing, scripting, background context, contract review for needed promotional/marketing clearances and rehearsal coordination.
    4. Work directly with global leadership and regional GMs to ensure scripts and presentations align to key narratives set by Strategic Communications and with the Virtuoso brand overall.
  1. Event Production & Delivery:
    1. Act as hands-on producer for major global events (Virtuoso Travel Week, Under One Sky, Impact Summit, Forums, Symposium, Chairman’s), overseeing staging, flows, rehearsals, and run-of-show, working with outside production company when applicable.
    2. Establish and manage preparation meetings/run-throughs such as initial content ideation sessions, “stumble through” reviews, table read sessions and stage rehearsals.
    3. Set cadence for and manage creative review meetings with outside production companies as needed for key decision making and guidance to deliver event to brief
    4. Organize and manage internal review/contributor process for providing consolidated and clear direction to internal resources and outside production companies
    5. Provide frameworks and protocols to support regional event teams, ensuring global consistency with local relevance.
    6. Provide support for securing and briefing speakers once identified, including initial briefing on event, audience profile, context of key event themes, timings and planned staging.
    7. Manage preparation of keynote speakers, panelists, and performers, ensuring delivery aligns with event objectives and audience expectations.
  1. Cross-Functional Collaboration:
    1. Collaborate with Marketing to ensure graphic installations, signage and key materials are on point for each event
    2. Work closely with regional GMs and Marketing to ensure global themes are understood, review agendas, discuss speaker support needed, and advise on show flow and production execution (expertise varies by region)
    3. Collaborate within cross functional teams to ensure messaging across event lifecycle is in step with planned thematics: pre-event (registration campaigns, reminders, “Know Before You Go”), onsite (insider updates), and post-event (surveys, highlights).
    4. Liaise with Marketing (video/content team) for briefings on the event which influence video messaging, event marketing campaigns and on site installations.
  1. Technical & AV Requirements:
    1. Provide brief of standard expectations based on size/scale of event working with Event Ops and Virtuoso Tech team. 
    2. Ensure working knowledge of AV and production technology to guide regions and support Event Ops and Tech in vendor/onsite oversight.
    3. Draft and manage “mainstage” Tech/AV Briefs to ensure clarity and consistency across events, addressing the variability of local AV providers and based on Virtuoso resources deployed.
    4. Collaborate with internal tech teams to integrate Virtuoso-specific event technology and networking solutions such as Slido, Plaud and other tools that may be required with set up timings/show flow accountability.
  1. Administration & Coordination:
    1. Oversee event coordination functions: scheduling rehearsals, drafting agendas, production company liaison, and team communications.
    2. Ensure global production consistency by supervising and mentoring production specialists (e.g., Production Designer/Coordinator).
  1. Success Measures:
    1. Consistent delivery of world-class, brand-aligned events that elevate Virtuoso’s global reputation with goals met on content scores.
    2. Strong collaboration across departments and regions, with seamless alignment of messaging and content delivery – visually and verbally.
    3. Efficient and reliable frameworks that enable regional event teams to replicate quality standards.
    4. Positive partner, advisor, and attendee feedback on event content, flow, and impact.

 

Educational and Skills Requirements:

  • 8+ years of experience in event production with global scope and large high-profile events
  • Professional polish in working with high-profile speakers/keynotes
  • Strong background in creative direction, show flow design, and content-driven event production, digital and video production
  • Experience working in a matrixed environment with cross-functional teams (Communications, Marketing, Global Events, C-suite)
  • Proficiency in speaker management, executive communications, and script development for timings
  • Coaching skills to support stage management as needed a plus
  • Familiarity with AV/tech production, staging, digital installation and vendor management
  • Exceptional organizational and project management skills with ability to balance hands-on production and strategic oversight
  • Collaborative, diplomatic, and creative communicator with the ability to influence across cultures and regions

 

Travel Requirements:

  • Travel is required approximately 10%-20% of the time.
  • Travel will be primarily domestic but may include some international.

 

Type/Nature of Contacts:

  • External: Frequent contact with production companies and hotel AV departments.
  • Internal: Daily contact with Virtuoso staff.
