General Description
This position provides skilled assistance to the IFT Executive Director and others as assigned and acts in a discretionary capacity for the manager in coordinating operations of the Institute for Teaching. The position provides extensive logistical and administrative support to the IFT program and projects, which require exercising independent sound judgment and initiative with minimal supervision.

Duties and Responsibilities
The incumbent may perform any combination of the tasks listed below:

  • Designs, coordinates, and implements grant application processes for IFT-related projects.
  • Compiles information and creates/maintains databases using current technology.
  • Works with a variety of technologies for promotion and implementation of IFT-related projects and events, including social media graphics and website development.
  • Works with a wide variety of ethnic and cultural groups (staff and members).
  • Works with representatives of public and private educational institutions, as well as educational foundations.
  • Attends and records minutes for IFT Board of Directors meetings.
  • Prepares and authorizes stipends, vendor invoices, and check requests, subject to initial manager approval.
  • Coordinates recordkeeping and budget reporting for the programs sponsored by IFT.
  • Composes, prepares, and edits reports and routine correspondence for style and correct English usage, grammar, punctuation, and spelling.
  • Assists in identifying, developing, and reporting information from files and other resource documents.
  • Establishes and maintains files and records.
  • Arranges and prepares for meetings, conferences, and workshops and performs other required logistics.
  • Plans, coordinates and follows through on large complex logistical projects assigned on a continuing basis.
  • Answers telephones and responds to inquiries from the public, members, and staff as appropriate.
  • Schedules appointments, travel arrangements, and maintains calendar for manager.
  • Prepares materials for manager's use at State Council, Board of Directors, and other meetings, conferences, and events.
  • Operates generally used office equipment.
  • Performs other appropriate duties as assigned.

Qualifications - Minimum Required

  • Bachelor’s degree or Associate degree & 2 years relevant experience or High School diploma/GED & 5 years relevant experience.
  • Extensive knowledge of CTA's organization and its administrative and policy-making bodies.
  • Ability to function effectively under considerable pressure and solve complex office problems independently.
  • Demonstrated ability to exercise sound judgment and initiative. 
  • Demonstrated ability to exercise planning, coordinating and follow-through skills as applied to large complex logistical projects.
  • Ability to prioritize multiple projects and to adapt to changes in priorities.
  • Ability to work cooperatively with fellow employees in a complex interdependent organization structure.
  • Ability to work cooperatively with leadership and management.
  • Ability to learn and communicate CTA structure, policies, and procedures.
  • Ability to communicate clearly, verbally and in writing.
  • Proficient word processing skills with minimum keyboarding speed of 55 wpm.
  • Computer proficiency and the ability to learn and use the Association’s software programs including databases, web-based applications, and social media.
  • Ability to travel as needed.
  • Ability to work overtime as needed.

*This position is in a bargaining unit represented by CAS. Salaries are established by a collective bargaining agreement. Step placement is also determined by the CTA/CAS Agreement.
