Summary of Position
The Catering and Conferences Coordinator will be in charge of managing and planning all the needs of events and catering services. This role will support the Catering team by facilitating event planning and organization, managing communication channels with vendors, guests and colleagues to ensure memorable moments are created and the ultimate guest experience delivered upon in every interaction.
Roles and Responsibilities
- Meet group coordinator/host(ess) prior to functions, make introductions, and ensure that all arrangements are agreeable.
- Warmly welcome and greet customers/clients.
- Communicate effectively with guests and Colleagues with a friendly, courteous and professional demeanor.
- Respond to the needs of clients and guests in a timely manner.
- Assist the Catering Sales & Services team with administrative tasks, building opportunities in the system, helping with detailing of events and groups, sending out daily and weekly reports, ensuring calendars are up to date and leads are assigned
- Prepare banquet event orders (BEOs), contracts, proposals, menus, floor plans, and event packets to ensure all details are accurate and distributed to relevant departments.
- Work closely with the Sales, Food & Beverage, Culinary and Banquets teams to ensure smooth execution of all events, maintaining clear and timely communication. Craft up and monitor event timelines to ensure smooth delivery.
- Ensure that the décor is properly set up and then broken down after the event.
- Ensure that food orders are processed and on time for the events.
- Communicate and coordinate with third party vendors and external suppliers to ensure the inventory is stocked.
- Assisting other departments with the planning of internal events and ensuring these are included in communication
- Occasionally conduct walkthroughs and assist with the preparation of site inspections and eventually conduct them in times when a manager is not available (i.e. walk in’s or unscheduled sites)
- Develop and maintain positive working relationships with others, and support team to reach common goals.
- Performs other related duties as assigned.
Qualifications
- High school diploma is required and a bachelor’s degree or associate’s degree in hospitality or culinary arts is preferred.
- Prior experience as a catering coordinator, or other relevant position in the hospitality or food service experience industry.
- Related experience in a luxury establishment is a plus.
- Excellent communication skills and effective problem-solving skills.
- Solid organizational and time management skills.
- An ability to multitask in a fast-paced and demanding environment.
- Understanding of food preparation and catering practices.
Physical Requirements
- Prolonged periods of sitting at a desk and working on a computer.
- Possible prolonged periods of walking around and standing.
- Must be able to lift 15 pounds at times.
