We're looking for someone to join our team as a Licensing Specialist who:
Under the direct supervision of the Licensing & Credentialing Manager, manages Clinica Sierra Vista (CSV) licenses. This position prepares and submit applications for all regulatory licenses. The Licensing Coordinator will ensure all operational licenses are up to date and work closely with other department leaders to submit licenses for new facilities, renewals and existing facilities. The Licensing Coordinator will demonstrate strong attention to detail and the ability to identify potential risks. This position is responsible for the management of licenses in the MD Staff Managed Care Software. The position maintains positive relationships with CSV regulatory agencies and serves as a resource for Clinica Sierra Vista staff on regulatory and licensing issues.
Essential Functions:
- Coordinate the completion and submission of Facility Licenses along with supporting documents.
- Monitor all Facility Licenses to ensure they are active and when the time to renew and/or deactivate.
- Review, evaluate, and ensure compliance with established policies, procedures, measures and performance standards.
- Prepare reports of findings and make recommendations.
- Ensure all sites have updated licenses by auditing.
- Track all applications from beginning to approval.
- Monitor the release of regulatory letters from DHCS, HRSA, CDPH, etc. and provide to management.
- Coordinate, prepare and monitor special projects and reports as required.
- Ensure that all CSV Clinics, CLIA, Pharmacy, Dispensary, and other operating licenses are current and renewed when due.
- Maintain information (license numbers, expiration dates, etc.) and obtain re-registration approvals in advance of license expirations to ensure no disruption.
- Collaborate with internally and externally in prioritizing licensing projects.
- Maintain and organize appropriate regulatory records to demonstrate compliance with applicable regulations.
- Perform other duties as assigned, from time to time, by the COO/CHRO.
You'll be successful with the following qualifications:
- High school diploma or equivalent (GED) required.
- Experience with Google Sheets or Microsoft Excel.
- At least 2+ years licensing application & submission experience and dealing with regulatory agencies.
- Proven 2-year work experience as a licensing coordinator in an outpatient / FQHC environment required.
- Demonstrated organizational, management, supervisory, and teaching skills in a health care delivery organization.
- Able to multitask, prioritize, and manage time efficiently.
- Valid California driver’s license, auto insurance, and personal transportation.
