THE OPPORTUNITY
Weintraub Tobin is currently seeking a full-time (40 hours per week), experienced Billing Coordinator to join the Firm’s Accounting and Finance team in our Sacramento office. This position reports directly to the Chief Financial Officer and works collaboratively as part of a team, regularly interfacing with the Firm’s clients, attorneys, and staff across all offices. The successful candidate is detail-oriented, proactive, and thrives in a fast-paced, professional environment. A strong commitment to quality client service and teamwork is essential.
RESPONSIBILITIES
- Perform and process daily billings (both paper and electronic/EDI billing), including review of billing data for any errors.
- Resolve billing issues directly with attorneys and clients.
- Apply trust and retainer funds as directed.
- Prepare and distribute monthly pre-bill reports to billing attorneys, practice group leaders, and the CFO.
- Edit pre-bills in response to attorney or secretary requests.
- Provide back-up support for accounts payable (A/P) and accounts receivable (A/R).
- Assist with month end tasks (e.g., trust balancing and interest).
- Process write-offs in accordance with Firm policy.
- Provide remote billing support to the firm’s additional offices in San Francisco and Los Angeles.
- Make collection calls as needed.
- Perform additional duties as assigned by Firm management.
SKILLS AND ABILITIES
- 2 - 4 years of billing, A/R, and/or light bookkeeping experience within a law firm or other professional services environment.
- Proficiency in Microsoft Excel and Word is required.
- Experience handling electronic (EDI) billing is preferred.
- Experience with Orion accounting software, or similar programs is a plus.
- Familiarity with e-billing sites (e.g. Tymetrix, Counsellink, Legal eXchange, Legal Tracker, etc.) is a plus.
- Superior attention to detail and a high level of accuracy, judgement, and discretion.
- Ability to work concurrently on a variety of projects and work effectively under pressure, while meeting deadlines.
- Adept at working independently or on a team in providing timely and quality client service to attorneys and staff.
- Ability to effectively interact and communicate with all levels of the Firm (i.e. shareholders, other attorneys, Firm management, other staff, and clients).
- Reliable, professional and punctual.
- Strong analytical and problem-solving skills.
- Demonstrates good judgement and confidentiality and discretion at all times.

Salary range: $60,000-$70,000
