We are looking for a detail-oriented, proactive Operations Coordinator to support the operational excellence of our coworking and cowarehousing campuses.

Key Responsibilities + Duties

Operations Coordinator Responsibilities:

  • Support Facilities Operations: Coordinate vendor relationships, facility maintenance, and operational tasks across multiple locations.
  • Streamline Processes: Create and maintain SOPs for recurring operational and facility needs.
  • Ensure Compliance: Support the tracking and reporting of our B Lab B Corp requirements and other operational compliance needs.
  • Administrative Support: Provide administrative support to the President and Director of Operations, helping ensure nothing falls through the cracks.
  • Champion Excellence: Help create smooth, consistent operational systems that alleviate burdens from campus teams and enable them to deliver a best-in-class member experience.

Operations Coordinator Duties:
  • Help coordinate and communicate annual calendar for the team (birthdays, anniversaries, volunteering, planning, etc) 
  • Serve as the primary contact for all facilities-related vendors, including contract tracking, scheduling, and payment coordination.
  • Build and maintain a verified vendor list for all maintenance needs.
  • Conduct regular campus walkthroughs to ensure spaces are clean, safe, and “member ready.”
  • Maintain organized digital records for all facilities vendors, contracts, warranties, and compliance documentation.
  • Support the documentation and improvement of internal operational procedures.
  • Track and report on operational metrics, including a facility walkthrough scorecard.
  • Coordinate with Community Experience Managers (CEMs) to quickly address and resolve facility issues.
  • Assist with capital planning and sourcing of new vendors as operational needs evolve.
  • Support ongoing improvement, planning, data tracking and reporting related to B Corp commitments and goals.

The ideal candidate has...

  • Experience in vendor management, facilities coordination, or operations administration
  • Experience creating SOPs and documenting or improving processes
  • Strong organizational and time management skills
  • Financial acumen and comfort reviewing vendor contracts and pricing
  • Proficiency in Google Workspace
  • Excellent written and verbal communication skills
  • A high degree of ownership, accountability, and follow-through
  • A supportive, helpful mindset — someone who ensures nothing slips through the cracks
  • A passion for sustainability, operational excellence, and community-building
