This is administrative support work in receiving, verifying, processing, maintaining and filing court records. Work requires knowledge of office practices and procedures which involve the operation of standard office equipment such as a personal computer, copier, microfilm and microfiche equipment, and calculator and which can be learned on the job within several months. Contacts require courtesy, tact, and effectiveness in dealing with others, and include contacts to request or provide information, ask questions or obtain clarification. The work is performed following established routines, procedures and standing instructions, and although patterned, some variation in the sequence and choice of procedures used is permitted based on situations encountered in the workplace. Work is normally performed in an office environment though the employee may be required to deliver or pick up mail, documents, supplies or materials. Operates personal computers, typewriters, calculators, microfilm and other standard office equipment. The physical demands are minimal and consist mainly of standing or sitting for extended periods of time, and dependent upon assigned work location, may be required to lift light objects weighing up to 25 pounds. The work is performed under general supervision where the work assignments are subject to instructions and established work routines, and the worker is given latitude to rearrange the sequence based on changing work situations or workflow.

Position Duties

  • Receives, sorts, organizes, prepares, and files daily records, case files, reports, logs, and other documentation.
  • Assists the public in a friendly manner, filing, and receiving and processing documents and fees, preparing claims, settling cases for appearance hearings, processing court cases.
  • Performs a wide variety of administrative duties including answering telephones, processing mail, copying materials, filing materials, and assisting the public.
  • Types, labels, forms, legal documents, memorandums, letters and related correspondence. Verifies and enters data into a computer.
  • Duplicates forms, legal documents and related records.
  • Make written reports and fill out forms as necessary.
  • Operates standard office equipment such as a typewriter, calculator, personal computer, microfilm and microfiche equipment, and copier.
  • Picks up and/or delivers a variety of mail, documents, materials, and supplies.
  • Demonstrates proficiency in the Clerk of the Circuit Court/City of Jacksonville's Competencies.
  • Dependent upon assignment, it may be required to travel to various office locations.
  • Performs related work as required.

Minimum Qualifications

  • Knowledge of office practices and procedures. 
  • Knowledge of Business English. 
  • Ability to match names and numbers. 
  • Ability to file both numerically and alphabetically.
  • Ability to accurately and efficiently receipt and account for money.
  • Ability to follow oral and written instructions.
  • Ability to speak in a public setting.
  • Ability to always remain professional and courteous with customers.
  • Ability to transcribe legibly and neatly.
  • Ability to perform basic mathematical calculations.
  • Ability to establish and maintain effective working relationships.
  • Ability to operate standard office equipment.
  • Depending on assignment, ability to type at a rate of 40 words per minute.
  • Dependent upon assignment, ability to operate a motor vehicle or the ability to travel between various locations to meet the assignments of the position.

Other Qualifications

  • One (1) year of experience in clerical work, cashiering, or customer service or any combination of those totaling one (1) year.
  • Ability to read, write and communicate in English – required. 
  • Dependent upon assignment must be able to type 40 words per minute.
  • Dependent upon assignment, ability to operate a motor vehicle or the ability to travel between various locations to meet the assignments of the position.

LICENSING/CERTIFICATION/REGISTRATION:

  • Depending on assignment, a valid Class E Driver's license is required to be maintained during employment in this class.
  • May be required to furnish an automobile in operable condition for use in City business for which mileage compensation will be paid.

OTHER REQUIREMENTS:

  • The probationary period for this classification is six (6) months. 
  • Depending upon assignment, the position may perform safety-sensitive functions and if so, is subject to pre-employment and random drug/alcohol testing programs as set forth in the City of Jacksonville's Drug Free Workplace Policy (Directive 0401).
