Job Title: Exams Administration Assistant 
Department: Business Support 
Salary:  £23,638 with the view to progress to £24,326
Job Type: Permanent 

To provide administrative support to a busy Exams team and the wider Student Administrative team as required, including but not limited to the management of recording and distributing certificates to students, preparing materials for examinations and assessments, data inputting, and assisting with general office duties.

The post-holder will frequently act as the first point of contact for the team, consistently acting as a positive ambassador for the College Group whilst upholding JCQ regulations. The post-holder will be an enthusiastic and resourceful team-player with the ability to operate discreetly with a customer-focused approach.

Key Responsibilities

  • Deliver a range of administrative and customer services to support the Exams Officer and wider Student Administration team
  • Administrative support through maintaining databases including Pro-solution and SharePoint.
  • Management of the recording and distribution of certificates.
  • To build an up-to-date knowledge of JCQ to ensure compliance with rules and regulations.
  • Support Exams Officers with day-to-day administration tasks, such as data entry and preparing documents and materials for exams.
  • Act as first point-of-contact for the examinations office, responding to queries within the College’s existing quality standards and procedures whilst maintaining a high level of customer service.
  • Act as a positive ambassador for the College Group, maintaining a professional and positive image within the organisation and to external stakeholders.
  • Ensure the accuracy and confidentiality of information held within the exams office and comply with data
  • protection protocols and relevant policies as appropriate.

  • To full engage with training and development activities, including the annual appraisal process.
  • To take proactive responsibility for Health & Safety to ensure that a safe working environment and safe working practices are maintained at all times.
  • To comply with the General Data Protection Regulations (GDPR).
  • To support cross college activities as required, in particular the key enrolment and invigilation periods.
  • Carry out any other relevant and appropriate duties as determined by the needs of the service and as appropriate to the grade.

Skills, Knowledge and Expertise

Essential Criteria 
  • Level 2 qualification, including Maths and English or relevant experience 
  • Excellent communication skills, oral and written 
  • Good computer literacy – ability to learn IT systems effectively 
  • Good organisational skills – pays attention to detail
  • Experience of working with customers or as part of a team in a busy, fast-paced environment 
  • Ability to work independently to a high standard, taking accountability, ownership and a commitment to self-reflection and learning
  • Good relationship management - works well as part of a team 
  • Ability to work to tight deadlines and multiple priorities
  • Positive personality – calm, self-motivated and driven to achieve results through positive role-modelling and common sense practicality
  • Innovative and creative – ready to problem solve 
  • Personal qualities of integrity, honesty, transparency and commitment to/ownership of the mission and values of the College
  • Resilient – ability to work calmly within a high-pressure environment and deal with fluid situations
  • Must be committed to their own CPD
Desirable Criteria 
  • Experience of working in a college administration or exam function
