Are you a detail-oriented professional with a heart for helping people feel welcomed and supported in their health care journey? We’re looking for a New Patient Intake Specialist to join our team! In this role, you’ll be the first friendly face our patients meet, guiding them through the onboarding process and ensuring their information is collected with accuracy, care, and confidentiality. The right candidate will bring experience in a primary care setting, familiarity with EHR systems, and a passion for delivering excellent customer service—all while connecting patients to the care and providers they need most.

Schedule: Full-Time, Monday-Friday, 8am-5pm (Hybrid Remote Schedule)

Highlights of the position:

  • Be the welcoming first point of contact for new patients—introducing them to our health center, programs, and resources in a clear, supportive, and professional way.
  • Ensure a seamless registration process by accurately entering demographic, insurance, and medical history into the EHR and coordinating records releases with HIM staff when needed.
  • Connect patients with care quickly and thoughtfully by scheduling initial appointments, managing provider waitlists, and prioritizing access based on patient needs.
  • Guide patients through insurance and financial details—verifying eligibility, explaining policies, and walking them through payment options and sliding fee scales.
  • Prepare patients for their first visit by providing forms, instructions, and key information—while safeguarding records and maintaining confidentiality at all times.
  • Support ongoing patient engagement by running panel reports, conducting outreach to patients who haven’t been seen in 18–24 months, and coordinating next steps for record inactivation.
  • Work as a vital team player—partnering with the Administrative Operations Manager on panel management and collaborating with both clinical and administrative teams to ensure smooth handoffs and continuity of care.

Education and Experience:

  • High school diploma or equivalent required; Associate’s degree in health administration or related field preferred.
  • Minimum 2 years of experience in a primary care setting required. Medical assistant experience preferred.
  • Experience with electronic health records (EHR) and medical terminology preferred.
