Internal Redeployment Only - Events Officer


Reporting directly to the Head of Events, the postholder will promote the brand of Cardiff University through a high profile events programme that covers major engagement events linked to the Welsh language and cultures (such as the National and Urdd Eisteddfod), as well as corporate and ceremonial events such as Graduation and lecture partnerships.
 
The post holder will be responsible for delivering on key aspects of the university strategy, notably the events designed to support the promotion of the Welsh language and culture as well as supporting student recruitment activity and events on behalf of the university.

This post is full-time and open ended.

Salary: £33,951 - £36,636 per annum (Grade 5)

Job Description

Key Duties
  • Support the Head of Events with the delivery of the University’s public events programme, particularly those in relation to Welsh Festivals and the development of a strategy to define priorities.
  • To work with the Dean of Welsh to consider event objectives and identify opportunities for engagement activities and sponsorship at a range of Welsh language and cultural events.
  • Supervision of project teams to accomplish strategy priorities and event objectives.
  • Play a key role in on-the-day delivery of events.
  • To prioritise and plan time and resources for each event. This will cover all stages of delivering an event, including marketing and promotion through to post-event evaluation.
  • To be aware of relevant good practice, guidance and legislation and ensure that the events managed by the postholder conform to legal requirements and are consistent with best practice. This covers areas such as health and safety, security, evacuation, disability, bilingualism, accessibility etc.
  • Establish working relationships with key contacts across internal departments such as Schools, Colleges and central professional services teams to encourage engagement with the university’s Welsh festivals activity.
  • Support the Events Team with aspects of Graduation planning, in particular the management and delivery of gowning and photography at CSL during Graduation week.
  • Responsible for the collection of university event data for the Higher Education – Business and Community Interaction (HE-BCI) survey, a mandatory HESA return from higher education.
  • Provide administrative support to the events team, to include servicing the relevant committees and working groups, when necessary.
  • Represent the University at events as appropriate, demonstrating a positive and helpful attitude and delivering a high-quality service.
  • Conducting relevant risk assessments to include protest mitigation.
  • Ensure branding and legal compliance with all planning and delivery of events and sponsorship.
  • Keep accurate records of expenditure related to all events, providing regular reports to the line manager and / or the budget holder on financial income and expenditure.
Student Recruitment
  • Work closely with the University’s Student Recruitment Team to ensure that event good practice is shared and efficiencies are realised.
Relationship Management
  • To source external suppliers when necessary and develop strong relationships to ensure high standards and reliable delivery of goods and service, adhering to institutional procurement and financial procedures, including writing tender specifications.
  • To manage event volunteers (including colleagues and students) and temporary staff, ensuring high standards of work are maintained.
  • To develop good working relationships with key contacts at partner organisations, namely the Urdd and National Eisteddfod.

Other Duties

  • This post will involve travel within the UK (approximately 2 weeks per year and up to 6 weekends per year). Specifically, the post holder must be available to work on the following events,
  • Urdd Eisteddfod (May)*
  • Cardiff University Graduation (July)
  • National Eisteddfod (August)*
*Note these events may be subject to change, pending consultation with the Dean of Welsh regarding priorities.
The post-holder will be required to be available for work throughout May, July and August (including some weekends), to service Welsh Festivals and Graduation events. The post-holder will be unlikely to be able to take annual leave during these periods.

Qualifications and Education
  1. Degree/NVQ 6 or equivalent Professional membership/experience
Knowledge, Skills and Experience
  1. Substantial experience of designing, creating, planning and managing successful high-profile events
  2. Experience of working on Welsh language events and working within welsh language policy
  3.  Experience of working with security teams to understand event risks and plan security measures accordingly and in consultation
Customer Service, Communication and Team Working
  1. Ability to communicate detailed and complex information effectively and professionally with a wide range of people, both orally and in writing.
  2. Evidence of ability to explore customers’ needs and adapt the service accordingly to ensure a quality service is delivered
  3. Proven ability to combine strategic thinking with attention to detail and to work efficiently and calmly under pressure
Planning, Analysis and Problem solving
  1. Evidence of ability to solve expansive problems using initiative and creativity; identifying and proposing practical solutions and resolving problems with range of potential outcomes
  2. Experience of managing a changing and varied workload, with the ability to prioritise tasks appropriately and deliver projects within timeframes
  3. Evidence of ability to work unsupervised to deadlines, planning and setting priorities for own work and that of others and monitoring progress.
