SUMMARY: As an Athletics Coordinator at the Boys & Girls Clubs of Southcentral Alaska, you will play avital role in supporting assigned soccer, basketball, volleyball, and flag football sport programs by planning, organizing, and implementing activities that meet the BGCSAK standards for a safe and fun learning environment. This role involves communicating with staff, volunteers, officials, parents, and participants.


The following duties are intended to provide a representative summary of the major duties and responsibilities and ARE NOT intended to serve as a comprehensive list of all duties performed by all employees in this classification. Incumbent(s) may not be required to perform all duties listed and may be required to perform additional, position-specific duties.


REPRESENTATIVE DUTIES

Program Management and Operations

  • Schedule Games and Practices: Create and manage schedules for all teams, including practices, games, and tournaments, while coordinating with facility availability.
  • Coordinate with Coaches and Staff: Act as the primary point of contact for coaches, ensuring they have the necessary equipment, training, and support to run their programs effectively.
  • Manage Program Registration: Oversee the registration process for all participants, including collecting forms, fees, and ensuring all required paperwork is complete.
  • Organize Events: Plan and execute special events like end-of-season parties, awards ceremonies, and sports clinics.

Communication and Administration

  • Communicate with Stakeholders: Serve as the main liaison for parents, participants, staff, and the Athletic Director, providing timely updates and responding to inquiries.
  • Create Promotional Materials: Develop and distribute flyers, social media posts, and newsletters to promote programs and events.
  • Handle Administrative Tasks: Maintain accurate records of participants, schedules, equipment inventory, and incident reports.

Safety and Compliance

  • Ensure a Safe Environment: Work to uphold all safety standards and policies for all athletic activities, including the proper use and maintenance of equipment and facilities.
  • Enforce Rules and Regulations: Ensure compliance with all league, club, and organizational rules, including participant eligibility and conduct standards.
  • Address Issues and Concerns: Promptly and professionally handle any conflicts, disciplinary issues, or parent complaints that may arise.
  • Provides backup coaching and operational support for all assigned sports programs, including participation in special events and outreach activities.
  • Contributes to the safety and security of the facility by assisting with emergency response, as well as the secure opening and closing of the Athletics/Clubhouse.
  • Supports the maintenance of a high-quality environment by assisting with general facility upkeep.
  • Performs other duties as assigned by BGCSAK leadership.

Requirements

KNOWLEDGE & SKILLS

  • Communication: Excellent written and verbal communication skills to effectively interact with parents, coaches, volunteers, and participants. This includes public speaking, writing clear emails and announcements, and active listening.
  • Organization and Planning: The ability to manage multiple teams, schedules, and events simultaneously. This involves meticulous attention to detail and strong time management skills.
  • Problem-Solving: The capacity to quickly and calmly address unexpected issues, such as scheduling conflicts, equipment shortages, or parent concerns.
  • Interpersonal Skills: The ability to build positive relationships with a diverse group of people, including children, parents, and community members.

MINIMUM EDUCATION QUALIFICATION

Level I – Athletics Coordinator

  • High school diploma or equivalent 

Level II – Athletics Coordinator

  • High school diploma or equivalent 
  • Completion of BGCA Spillett Leadership University Youth Development Professional
  • Completion of BGCA Spillett Leadership University Youth Development Challenge

MINIMUM EXPERIENCE QUALIFICATION

Level I – Athletics Coordinator

  • Must be eighteen (18) years of age or older
  • One (1) year of experience working with youth in a mentoring, coaching, volunteering, or coordinating youth sports and events 

Level II – Athletics Coordinator

  • Must be eighteen (18) years of age or older
  • One (1) year and six (6) months of experience working with youth in a mentoring, coaching, volunteering, or coordinating youth sports and events 

MINIMUM CERTIFICATION QUALIFICATION

  • Employees will be trained in First Aid and Cardiopulmonary Resuscitation (CPR) to respond effectively to medical emergencies or injuries that may occur during program activities. It is the responsibility of the employee to achieve and maintain the First Aid and CPR certification.
  • Employees will be assigned Boys & Girls Clubs of America Spillett trainings annually. It is the responsibility of the employee to complete the Spillett trainings when assigned.
  • Employees must complete the State of Alaska, Department of Health & Social Services, Mandatory Child Abuse Reporter Training at time of hire. It is the responsibility of the employee to complete the Mandatory Child Abuse Reporter Training annually.
