About the Department
The Thornton Police Department is seeking a Police Administrative Technician to support the operations of the North Metro Police Academy. This position provides essential administrative and clerical support to ensure the smooth coordination of the academy’s training programs, records management, and daily operations.
The Police Administrative Technician will be responsible for maintaining training records, assisting with scheduling and logistics for academy classes, preparing and processing reports, and serving as a point of contact for staff, recruits, instructors, and outside agencies. Additional duties may include coordinating communication between the academy, partnering agencies, and Colorado POST, managing files in compliance with state and departmental standards, handling data entry, and providing general office support as required.
This role is critical in supporting the academy’s mission of preparing police recruits and officers with the training, professionalism, and accountability necessary to serve the North Metro communities. The ideal candidate will demonstrate strong organizational skills, attention to detail, and the ability to work in a fast-paced training environment while supporting both staff and law enforcement personnel.
Position Duties
Creates, controls and troubleshoots security prox cards through specialized software to maintain building security. Issues building keys and maintains key records. Reviews building security access to ensure appropriate levels are given to established security groups. Performs annual audits of both the prox card system and key log to maintain building security. Works closely with records supervisors to ensure employees with building access have met Colorado Bureau of Investigation requirements.
Exports data from the Computer Aided Dispatch system out of the Emergency Communication Center.
Administers centralized department purchases and is responsible for inventory of supplies and equipment, including specialized equipment for Special Weapons and Tactics unit, Detectives, Crisis Negotiation Unit, Firearms staff, School Resource Officer unit, etc. Issues, tracks and reclaims property, uniforms, and equipment. Assesses condition and disposition of reclaimed items.
Coordinates centralized department training. Prepares and processes department outside training and travel paperwork for all department members. Registers department members for conferences, makes travel arrangements and tracks amounts spent for training budget. Audits training requests against approved list from administration. Advises administration of discrepancies.
Administers the Hepatitis B vaccination program in the department. Researches, audits, compiles, organizes, tracks and schedules information regarding Hepatitis B vaccinations. Schedules appointments and serves as the liaison between the department and vendor. Provides authorization for testing.
Administers the department computer-based training program. Tracks department- and state-mandated training. Compiles monthly training reports by division and department, and missed in-service training reports; monitors training budget. Advises training coordinator of discrepancies and certification expirations. Ensures department compliance with Colorado POST Rules and Regulations pertaining to training.
Maintains department member personnel/employment information in the Police Officer Standards Training (POST) program. Acts as the liaison between state officials and the department to ensure compliance of mandated certification.
Maintains all records associated with the North Metro Police Academy, including but not limited to student records, instructor records, etc. Ensures and maintains compliance with all Colorado POST Rules and Regulations for the North Metro Police Academy.
Researches and analyzes processes to assure quality control maintenance (example: uniform purchase process, budget reporting process, employee emergency contact update process, etc.).
Prepares monthly department overtime reports and communicates it to the various divisions.
Assists with fixed asset audit. Serves as liaison between the Police Department and Finance.
Assists with budget support functions. Prepares analysis of general ledger accounts.
Researches and responds to internal and external customer service inquiries and complaints.
Generates statistics, researches, collects and compiles data, prepares supporting charts, verifies reports for accuracy, collates reports, and requests additional information as needed.
Manages and tracks cell phone inventory/upgrades and wireless device inventory.
Processes all accounts payable transactions, invoices, procurement cards and employee reimbursements.
Processes requisitions and purchase orders, and serves as liaison between the department and purchasing.
Compiles data for special projects as assigned, ensuring completion by specified deadlines and in accordance with established goals and objectives.
Performs administrative support functions such as data entry, typing, filing, interview transcribing, and reviewing and processing paperwork.
May be required to actively participate in department committees for consistency in practices and to ensure compliance with City policies.
May access the Criminal Justice Information System (CJIS) and other law enforcement information systems for criminal reports as required.
May be required to pick up and deliver supplies and evidence samples, and acts as a liaison with vendors.
May be required to work overtime.
Performs other duties as assigned.
Minimum Qualifications
High school diploma or GED, supplemented by additional coursework in accounting or related field; four years' administrative experience, preferably within municipal government or law enforcement. Equivalent combinations of education and experience may be considered.
Licensing/Certification Requirements:
Requires clearance in a police background investigation in order to access the Criminal Justice Information System (CJIS) and other law enforcement automated information systems.
Valid Colorado driver's license with a safe driving record.

While performing the duties of this job, the employee is regularly required to sit, stand, walk, reach, twist, turn while kneeling, bend, squat, stoop, grasp, talk, hear, see, and perform functions requiring repetitive hand movement. The employee is required to perform lifting up to 25 pounds.
