Reports To: Chief Operating Officer
Classification: Regular, Full-Time, Non-exempt
Schedule: Monday - Friday: with the option of working 4x10's

You will be a key point of contact for families, collaborating with multiple teams to ensure their stay is as seamless as possible. You must be able to communicate on both a highly professional and compassionate level, balancing administrative tasks with the sensitivity required to work with families facing challenging circumstances.
Requirements
Primary Responsibilities
Family Placement Support
- Serve as a key point of contact for daily guest communications in coordination with the Family Placement Manager.
- Meticulously maintain and update the First-Time Guest list to ensure new families receive timely information and dedicated support.
- Supports a seamless check-in experience by coordinating arrival logistics with Guest Services staff.
- Collaborate with the Guest Services team to ensure the accurate and timely generation of Arrival Notices and invoices for billing.
- Administer the guest registration software, including the execution of regular security audits to ensure data integrity.
- Support staff development by assisting with training sessions and maintaining up-to-date training materials.
Operations Support
- Manage the third-party billing program, overseeing Medicaid reimbursements and handling the full cycle of denials and appeals.
- Contribute to tracking key organizational goals and impact measurements by preparing and analyzing operational reports.
- Coordinate the logistics for facility maintenance and improvement projects, ensuring minimal disruption to guest services.
- Ensure regulatory compliance by supporting HIPAA audits and other internal compliance initiatives.
Cross-Functional Support
- Maintain expert proficiency in the guest registration process to provide skilled backup to the Guest Services team.
- Develop a comprehensive working knowledge of the referral and intake process to provide effective coverage for the Family Placement Manager as needed.
- Actively participate in team meetings to stay current on all organizational policies, procedures, and best practices.
