Project Controls Specialist
KEITH is looking for a detail-oriented and financially driven Project Controls Specialist to join our team in Pompano Beach, FL. We are looking for positive individuals to fit our energetic culture. What you'll do:
As a Project Controls Specialist, you will play a key role in ensuring the successful delivery of projects by supporting project financial health and operational efficiency. This role blends project accounting, scheduling, and documentation management, with a strong emphasis on accounting.
Project Accounting:
- Manage project billing, accounts receivable, and consultant invoicing, ensuring accuracy and timeliness.
- Collaborate with Project Managers to review project costs, track budget performance, and finalize monthly invoices.
- Assist in the preparation and submission of agency-specific billing, including FDOT and other public sector clients.
- Support the development of project proposals, including fee estimates and budget allocations.
- Prepare and analyze cost reports, identify variances, and recommend corrective actions.
- Assist in the preparation of audit packages and compliance documentation for public agency projects.
- Maintain and update project financial records in Deltek Vantagepoint and internal systems, ensuring data integrity.
- Monitor and track subconsultant agreements, budgets, and invoicing compliance.
- Assist in developing and maintaining detailed project schedules.
- Coordinate with project teams to align financial milestones with project timelines.
- Identify and mitigate scheduling risks that may impact budget or billing cycles.
- Maintain comprehensive and organized project documentation, including contracts, change orders, and financial correspondence.
- Support project closeout processes, including final billing, reconciliation, and documentation archiving.
- Bachelor’s degree in Accounting, Finance, Business Administration, or a related field.
- 2–5 years of experience in project accounting, financial controls, or project administration within the A/E/C industry.
- Familiarity with Deltek Vantagepoint or similar project accounting software.
- Experience with FDOT or other public agency billing processes is a plus.
- Strong analytical, organizational, and communication skills.
- Ability to manage multiple priorities and work both independently and collaboratively.
