This is a 12-month (year-round), full-time position (260 days) and eligible for health benefits. This position will report to the CFO and is located in the Business Services building. Hourly rate is $26.00.
GENERAL SUMMARY, EDUCATION AND QUALIFICATIONS
Under direct supervision, the Administrative Assistant will support the business office and the District with the following:
- Perform a wide variety of secretarial and clerical duties and other administrative functions necessary for an efficient and effective business office
- High school diploma or equivalent preferred
- Secretarial experience preferred but not required, to include experience with computers, creating and maintaining spreadsheets, working with financial data, organization skills, attention to detail, confidentiality, office protocol
- Clear a state criminal record check and a child abuse check
- Be a minimum of 18 years old
ESSENTIAL FUNCTIONS
- (C) Support District policies by supporting administrative and operational functions of the business office; maintain financial records and support business projects; support the District’s educational directives
- (C) Perform a wide array of secretarial and office duties in support of the business office and CFO; use a computer and various types of software and computer programs to maintain District records for transportation, payroll, purchasing, reconciliations; create documents and spreadsheets, communicate electronically; work closely with outside vendors
- (C) Demonstrate professionalism at all times when working with vendors, parents and staff members; exercise good judgment; effectively collaborate with others in a courteous and honest manner; conduct oneself according to the policies of the District and the Nebraska Board of Education
- (C) Regular, dependable in-person attendance in order to maintain the District’s regular routines and deadlines; the ability to perform the identified tasks and possess the identified knowledge, skills, and abilities to perform the identified work activities; the ability to perform the identified physical requirements
Examples of typical performance responsibilities are listed below (not intended to be all-inclusive). There may be other duties assigned to an Administrative Assistant by District Administration as part of fulfilling goals that support student learning.
Performance Responsibilities/Job Tasks:
- Perform day-to-day administrative and clerical activities to ensure a productive and efficient business office
- Maintain transportation registration, billing and reconciliation for students who ride the bus
- Process student fee waiver communications
- Amazon purchases tracking and receiving shipments
- Credit card reconciliations
- Various tracking duties with Foundation grants; bond expenditures
- Various payroll reviews and audits
- Properly use office equipment such as copiers, fax machines, telephones, scanners
- Use Tyler Tech, Google Mail, and other computer programs to maintain financial records, read and send email, and create and maintain documents
- Work closely with outside vendors for transportation billing, purchasing,
- Communicate clearly and in a professional manner with District Administration, teachers, and other staff members
- Support the Superintendent and/or the CFO with special projects as necessary
- Learn to operate new office technologies as they are developed and implemented
- Maintain a high level of ethical behavior and confidentiality information in accordance with the law and District policies
