The Route Optimization Coordinator serves as a central communication hub, facilitating the efficient coordination of route service operations. This role is responsible for managing incoming calls, dispatching messages, and tracking vehicle movements to ensure seamless service delivery. The Coordinator plays a key role in enabling clear and timely communication between drivers, service teams, and other stakeholders, ensuring that all route activities are executed accurately and on schedule.

Role Priorities / Responsibilities:

  • Coordinate routes for all route service drivers to insure they are working in/on pre-assigned routes/tasks each day.
  • Make changes as needed to ensure optimize efficiency
  • Communicate route and any changes to Service Drivers accordingly 
  • Monitor driver movements daily / re-direct as required
  • Answer customer calls and dispatch drivers and equipment
  • Create, coordinate, and continuously evaluate the efficiency of all RBS routes
  • Document all calls 
  • Allocate, schedule, and assign jobs to the workforce
  • Coordinate, direct, and supervise the technicians on all billable or non-billable tickets
  • Assign the appropriate equipment and employees to corresponding jobs 
  • Enter data into computer system and keep dispatch records/logs and status reports 
  • Coordinate with billing personnel
  • Address problems and requests by transmitting information and providing solutions 
  • Plans and organizes appropriate work time and resource requirements
  • Use radio, phone or computer to send, coordinate, and manage crews, vehicles or other field units to appropriate locations
  • Monitor the route and status of field units to coordinate and prioritize their schedule
  • Provide field units with information about orders, traffic, obstacles, and requirements
  • Communicate as needed with yard personnel to prepare equipment for delivery / shipment & also pick-up / return
  • Communicate as needed with trailer manager to prepare trailers for delivery / shipment & also pick-up / return 
  • Work with third party logistics providers as needed to ensure timely delivery and pick-up requirements are met
  • Plan and coordinate all logistical requirements for special events and large equipment moves
  • Help identify and work with third party service providers as needed to coordinate services in locations not currently covered by Stallion
  • Understand and identify customer safety requirements of on-site personnel and communicate to Office Manager and Ops Manager
  • Resolve issues and communicate to Ops Manager as needed in a timely and efficient manner

Essential Knowledge, Skills and Abilities:

  •  Supervision and people leadership experience
  • Team building with a continuous improvement focus and dedication
  • Ability to prioritize calls according to urgency and importance
  • Need to have experience and understanding of a routed service business 
  • Have a firm understanding of logistics, routes, and associated equipment
  • Be able to calculate and maintain truck capacities 
  • Ability to remain calm and composed
  • Must be able to multi-task
  • Ability to take appropriate action with little supervision
  • Results oriented and driven to complete customer jobs
  • Excellent verbal and written communication skills 
  • Strong organization skills
  • Proficient computer and telephone skills
