A leading medical institution is seeking an Inventory Coordinator. The successful candidate will coordinate the acquisition, tracking, and documentation of surgical implants, owned, consigned, and loaned, by working closely with clinical teams, vendors, and supply chain staff to ensure timely availability, accurate billing, and compliance with hospital policies and surgical schedules.
Inventory Coordinator Responsibilities:
- Coordinate the acquisition, tracking, and disposition of owned, consigned, and loaned surgical implants (including tissue implants).
- Review surgical schedules in advance to identify and prepare for upcoming implant needs.
- Communicate and collaborate with Clinical Service Coordinators, surgeons, and vendor representatives to ensure implant availability for patient care.
- Perform procurement, receiving, storage, distribution, and sterilization coordination of implants in collaboration with vendors and Sterile Processing Department (SPD).
- Maintain accurate inventory levels through cycle counts, reconciliations, and inventory returns, following established policies and procedures.
- Ensure accurate patient billing by matching implant usage with charge forms and inventory records.
- Document and track implant usage, including handling “bill only” practices and vendor payments.
- Participate in and support product recall programs in coordination with Materiel Services and OR management.
- Maintain compliance with Joint Commission requirements for tissue procurement and documentation.
- Participate in on-call coverage rotation with other Implant Coordinators.
Inventory Coordinator Qualifications:
- 3 + years of experience in materials management, purchasing, or accounting.
- Bachelor’s degree in a related area and/or equivalent experience and training (preferred but not strictly required).
- Experience coordinating surgical implant procurement in a hospital or surgical center environment.
- Experience with charge capture and billing reconciliation in a surgical setting.
- Experience using healthcare inventory or procurement management systems (e.g., PMM Inventory Manager).
- Knowledge of academic hospital systems and protocols.
- Understanding of sterile processing and OR logistics.
- Proven ability to work independently on tasks with clearly defined objectives and minimal supervision.
- Strong communication and collaboration skills for interfacing with clinical teams, vendors, and supply chain staff.
- Knowledge of inventory control, procurement, and implant tracking processes.
- Ability to understand and follow departmental policies, procedures, and compliance requirements.
- Basic technical understanding of surgical implant products and materials.
- Must be able to travel between two locations as required.
- Familiarity with Joint Commission standards related to tissue procurement and documentation.
