Administrative Coordinator

The Administrative Coordinator (D&R, Hourly & Agency Payroll) is responsible for all functions as they relate to ensuring hours are input correctly to affect payment to all D&R hourly dock employees as well as Agency employees. The job is accomplished by utilizing the AS/400, Novatime System and Oracle system as well as minimum dock cards to input from. Reporting to the staffing agencies is also required. Also responsible for attendance/absences for D&R Hourly dock employees.
How You’ll Help:
- Utilizes Novatime system reports in order to pay employees according to Federal regulations
- Enters hours into Oracle system and provides hours to Staffing Agency for payment
- Updates scorecard daily in Teams for posting to DPIP Report
- Gathers information from Novatime system to update Regional/National reports (DPIP), also prepares internal operational reports i.e., volume & daily hours report
- Maintains attendance and vacation tracking for D&R hourly employees in Oracle system
- Updates Absence Tracker, Agency Hours and Cost Entry for Head Office
- Maintains strict deadlines / cutoffs for closing payroll to ensure employees are paid on time
- Receives Staffing Agency invoices and verifies hours for each dept. prior to accruals or payment through Coupa, liaising with the Accounts Payable Coordinator
- Protects company’s value by keeping information confidential
Your Skills and Experience:
- Minimum of secondary education, with preference of post-secondary education (general stream), or a combination of education and experience
- Previous Transportation or operational experience is preferred
- Experience with Payroll and Payroll Reporting Systems as it relates to the data entry / maintenance of employee hours
- Solid analytical capabilities to be able to monitor and maintain payroll approvals
- Previous Transportation or operational experience is preferred. Various roles within transportation and administration is beneficial.
- Organized individual with strong/advanced communication and resolution skills.
- Ability to work deadlines in a high transactional environment.
- Excellent Computer skills and accuracy, MS products, AS400, web-based payroll programs.
- Meticulous and detailed-oriented.
- Results focused.
- Ability to work in a team environment.
- Ability to champion business needs in a collaborative manner to colleagues
