Our client is a growing functional medicine practice dedicated to supporting children and families through personalized, high-touch care. Their programs combine education, discovery, and holistic health strategies to help patients thrive. They are seeking a Pediatric Administrative Assistant (also known as a Patient Care Coordinator) to support patient communication, streamline daily operations, and contribute to building the systems that will help our practice grow.
Job Purpose
The Pediatric Administrative Assistant plays a central role in ensuring a smooth patient experience and helping the practice run efficiently. This position is ideal for someone who is compassionate, detail-oriented, and proactive in setting up processes. You’ll act as both an Administrative Assistant and a Patient Care Coordinator, supporting patients, scheduling consultations, and helping improve the systems that keep the practice moving forward.
Responsibilities
Conduct daily discovery calls (approx. 45 minutes/day) with prospective patients, using a provided script and scheduling consultations.
Serve as a key point of contact for families via phone, email, and coaching calls.
Manage social media posts (Instagram, TikTok) by uploading provided content, writing captions, and managing descriptions.
Support administrative operations, including:
Entering new patients into the EMR
Ordering labs and supplements
Organizing educational video content and supporting drip content delivery
Tracking events and outreach activities
Take initiative in creating and improving internal processes.
Maintain a compassionate, professional, and patient demeanor when working with children and families, many of whom are neurodivergent.
Qualifications
Strong communication skills, both written and verbal.
Highly organized with the ability to build and refine systems.
Tech-savvy: comfortable with EMRs, Google Drive, and social media platforms.
Self-starter who can work independently and take initiative.
Patient, empathetic, and professional bedside manner.
Previous medical or patient-facing experience a plus (Medical Assistant background helpful but not required).
Local to the Fort Lauderdale/Sunrise, FL area preferred, but remote candidates will be considered.
Compensation
$20/hour
Approx. 35 hours/month initially, with opportunity to grow as the practice expands.
