Duties and Responsibilities

(* Essential Functions)


Student Information System General

  1. *Under general supervision, serves as campus coordinator and point-of-contact liaison for the student information system (SIS), such as Banner, for the College.
  2. *Serves as the lead campus subject matter expert in systemic student information system modifications, new technology introduction, and synchronization with other data systems of the University.
  3. *Coordinate and provide assistance to lead campus SIS users to facilitate effective usage of the system and related applications.
  4. *Assist with functional and technical troubleshooting by conducting comprehensive testing to resolve errors and in preparation/implementation of system upgrades and new functionality.
  5. Provide general functional support to campus SIS users and faculty and communicate with the UH system Office for assistance as necessary.
  6. As necessary, convene meetings among lead campus SIS users to advise the college on the available SIS information and functionality.


Scheduling

  1. *Responsible for setting up the SIS to begin scheduling and registration activity for each term and collaborating with the registrar and fiscal authority or designees.
  2. *Coordinate and disseminate scheduling timelines for each term to the campus.
  3. *Responsible for creating and maintaining the academic class schedule in the student information system.


IT

  1. *Create validation and data extraction reports using SIS functional and operational data (reports that do not require analysis) 
  2. *Create more efficient processes from communicating to students, writing SQL queries, and creating reports to assist staff to identify possible compliance issues. 
  3. Provide training on the creation or adjusting self service reports (e.g. STAR Academic Logic, Report Server, Insights, etc.).


Reporting

  1. *Assist in the development of reports using available SIS data for management decisions and improved operations at the college.
  2. *Assist with the development and maintenance of reports (e.g. Report Server, Insights, etc.).
  3. Assist with the reconciliation of the faculty workload report (e.g. Work Assignment Template).
  4. *Assist the Institutional Researcher (IR)/Institutional Analyst (IA) to resolve data discrepancies.
  5. *Run IR/IA created reports to identify course scheduling discrepancies, teaching equivalency, and to support initiatives such as Course Program of Study (CPoS).


Curriculum Management System

  1. *Responsible for maintaining and updating all course-related data in the SIS to reflect curriculum course modifications.
  2. *Responsible for coordination and review of all course changes with the campus curriculum committee to identify and clarify discrepancies and to ensure accurate and timely updates to all course-related data in the SIS.
  3. Provide functional knowledge of the SIS to assist faculty and the campus curriculum committee in the course modification/proposal process to improve clarity in course proposals.
  4. *Responsible for updating the course information in the curriculum management system (e.g. Kuali Student Curriculum Management) for display in the college catalog.


Degree and Pathway

  1. *Build and maintain degree and pathway rules (e.g. STAR)
  2. *Assist with the development, creation, maintenance, testing, and improvement in the accuracy of degree and pathway software (e.g. STAR).
  3. *Collaborate with the University Hawaii System degree and pathway coordinator in the resolution of discrepancies/issues between the student information system and degree and pathway software.

Training

  1. *Responsible for the training of division and administrative secretaries on the use of the SIS for scheduling and reporting for administrative needs.
  2. Coordinate other training activities involving the SIS as necessary.
  3. *Provide functional assistance and training to faculty/divisions in support of non-standard class scheduling needs in support of academic initiatives.
  4. *As requested, provide support to registration staff and counselors by reviewing registration issues and recommending resolution options to correct systemic or recurring functionality problems.

Minimum Qualifications

  1. Possession of a baccalaureate degree in Business Administration, Public Administration, Education, Computer technology or related fields and 4 year(s) of progressively responsible professional experience with responsibilities for student information databases and/or curriculum databases; or any equivalent combination of education and/or professional work experience which provides the required education, knowledge, skills and abilities as indicated.
  2. Considerable working knowledge of principles, practices and techniques in the area of student information systems and/or curriculum databases as demonstrated by the broad knowledge of the full range of pertinent standard and evolving concepts, principles and methodologies.
  3. Considerable working knowledge and understanding of applicable federal and state laws, rules, regulations and theories and systems associated with student enrollment and information management.
  4. Demonstrated ability to resolve wide ranging complex problems through the use of creative reasoning and logic to accurately determine the cause of the problems and the resolution of the problems in an effective, innovative and timely manner.
  5. Demonstrated ability to interpret and present information and ideas clearly and accurately in writing, verbally and by preparation of reports, and other materials.
  6. Demonstrated ability to establish and maintain effective working relationships with internal and external organizations, groups, team leaders and members, and individuals.
  7. Demonstrated ability to operate a personal computer and apply word processing and spreadsheet software.
  8. Knowledge of computerized databases and how to maintain them.


Desirable Qualifications

  1. Functional knowledge of Banner.
  2. Knowledge of STAR.
  3. Knowledge of Kuali Student Curriculum Management (KSCM).
  4. Knowledge of course scheduling.
  5. Knowledge of SQL/Programming software.
