POSITION DESCRIPTION

 

                          Accounts Payable Bookkeeper                           

 

Reports to: Finance Officer

 

Purpose: To provide financial and clerical assistance in the areas of purchasing, accounts payable, and reporting.  

 

Responsibilities:

 

A. Accounts Payable

  1. Code, check for accurac,y and enter all invoices for payment each week.  Print and put together checks weekly.
  2. Order State and Federal cash weekly or as needed.  Monitor cash accounts to ensure they are not overdrawn.
  3. Maintain Fixed Assets for the school system.  Enter assets in the system and assign asset numbers. Prepare reports for annual finance audit.
  4. Inventory coordinator for school system.  Ensure that annual inventories are completed by each school and assist each inventory contact with any questions.
  5. Calculate and pay all monthly sales tax accrued to the NC Department of Revenue.
  6. Calculate and pay all Indirect Costs.
  7. Calculate and prepare yearly sales tax refund.
  8. Assist school treasurers with any sales tax questions.
  9. Prepare and submit quarterly HUB (Historically Underutilized Business) report. Also helps State Office train new hires when needed/asked.
  10. Prepare quarterly MAC report.
  11. Calculate, print, mail and submit 1099s at calendar year end.
  12. Code, check for accuracy and enter all Child Nutrition invoices.  Print and put together checks monthly. 
  13. Prepare Child Nutrition bid roll overs or new bids each year.
  14. Escheat uncashed checks to NCDOR yearly after sending out letters to each payee and the affidavits, if needed.
  15. Serve as backup on central office phones during emergencies.
  16. Serve as backup for answering the front door at the central office.

B. Performs other duties as assigned by the finance officer and/or superintendent.

 

Knowledge and Abilities:

  1. Knowledge of general office practices.
  2. Knowledge of basic bookkeeping and accounting practices.
  3. Ability to operate standard office machines.
  4. Ability to use correct grammar, spelling, and mechanics in writing reports.
  5. Ability to enter data on a computer system.
  6. Ability to compare information accurately.
  7. Ability to interpret data and use it meaningfully in reports.
  8. Ability to use basic computer software programs and learn the use of more complex specialized software programs.

 

Training and Experience

Two-year business degree preferred or high school diploma and two years of employment in a business office or equivalent combination of education and work experience. Experience with LINQ software preferred.

 

Term of Employment: 12 Months

 

FLSA Status: Non-Exempt
