The Executive Assistant provides high-level administrative and operational support to the Assistant Vice President (AVP) of Infrastructure Management and Planning and related leadership teams. This role serves as the primary point of contact for internal and external stakeholders, ensuring smooth communication, efficient scheduling, and accurate documentation of critical initiatives. The Executive Assistant manages complex calendars, coordinates logistics for capital projects and planning meetings, prepares reports and presentations, and supports strategic initiatives that advance the university’s infrastructure, facilities, and sustainability goals.

Responsibilities

  • Manage the AVP’s daily calendar, travel arrangements, meeting logistics, and correspondence.
  • Draft, review, and edit reports, presentations, and communications related to infrastructure management, planning, and capital projects.
  • Maintain filing systems (digital and physical) to ensure organized recordkeeping of contracts, compliance documents, and project materials.
  • Serve as a liaison between the Office of Infrastructure Management and internal departments, external vendors, and government/regulatory agencies.
  • Track project deadlines, deliverables, and key performance indicators to ensure accountability.
  • Assist in the preparation of budgets, financial summaries, and progress reports for capital projects and facilities initiatives.
  • Provide administrative support for space utilization studies, sustainability programs, and long-term planning efforts.
  • Respond to inquiries from faculty, staff, students, contractors, and external stakeholders with professionalism and accuracy.


Education

  • Bachelor’s degree in Business Administration, Public Administration, or related field preferred; equivalent work experience considered.
  • 3–5 years of experience as an executive assistant, preferably supporting senior leadership in higher education, government, or corporate environments.
  • Must be able to lift 10 pounds.
