The Accounts Payable Specialist is responsible for processing, monitoring, and maintaining all university vendor invoices, payments, and related financial transactions with accuracy and efficiency. This position ensures compliance with university policies, state and federal regulations, and generally accepted accounting principles (GAAP). The Accounts Payable Specialist works closely with faculty, staff, vendors, and the finance team to support timely payments, accurate reporting, and effective financial operations.
Responsibilities
- Review, verify, and process invoices, purchase orders, and expense reimbursements in accordance with university policies.
- Ensure all payments are accurate, properly authorized, and coded to the correct accounts.
- Schedule and prepare check runs, ACH transfers, and wire payments.
- Reconcile vendor statements and resolve discrepancies in a timely manner.
- Maintain accurate accounts payable records, ensuring compliance with internal controls and audit requirements.
- Ensure adherence to university policies, state and federal regulations, and applicable grant/contract requirements.
- Assist with year-end closing, accruals, and audit preparation.
- Ensure accurate processing of 1099 forms and tax-related vendor documentation (W-9s).
- Serve as the primary point of contact for vendor inquiries, providing timely and professional responses.
- Assist in preparing accounts payable reports and reconciliations for management.
- Support the Finance Office with special projects, process improvements, and technology upgrades.
- Monitor aging reports and follow up on outstanding balances or discrepancies.
Education
- Associate’s degree in Accounting, Finance, or related field required; Bachelor’s degree preferred.
- 2–4 years of accounts payable or general accounting experience, preferably in higher education or a non-profit environment.
- Must be able to lift 10 pounds.
