Position Summary:
The Administrative Assistant will take direction from the Clinical Administrative Manager and Director of Clinical Services and utilize knowledge in a variety of areas to provide administrative support to the clinical divisions of The New York Proton Center. Support includes generation of reports, management of the administrative aspects of department processes, coordination of conference calls and meetings, travel arrangements, records retention and file management, ordering and managing of departmental supplies, expense report reconciliation, training class support, and general staff support. The Administrative Assistant must work collaboratively, exercise good judgment in decision making, be willing to take initiative, and possess excellent oral and written communication skills, as many tasks will be performed independently.
Duties and Responsibilities:
- Provide general clinical administrative support, including scheduling, mailing, scanning, faxing and copying
- Assist with planning company events, meetings, and employee team building activities or special projects
- Attend and participate in select clinical leadership team meetings. Support the preparation of meeting material, take confidential minutes, track assignments and follow-up activities and actions agreed upon by the team.
- Prepare and modify documents, including correspondence, reports, drafts, memos and emails
- Answer, screen and transfer inbound phone calls
- Maintain supply inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies
- Manage conference room reservations and organize all aspects for meetings
- Assist in resolving any administrative problems
- Comply with all New York Proton Center policies related to Privacy Rules established under the Health Information Privacy and Portability Act of 1996 (HIPAA)
- Perform other job-related duties, as assigned
Qualifications:
- High school degree or equivalent, required
- Minimum of 2 years medical office, or clinical environment experience, preferred
- Proven work experience as an Office Assistant or comparable position
- Hands on experience with MS Office
- Working knowledge of office equipment, like printers and fax machines
- Strong written and verbal communication skills
- Attention to detail and problem solving skills
