Job Description Summary:

Provides clerical and administrative support in the Business Services Office and liaises with internal and external business partners.

Job Description:

Description of Duties and Tasks

  • Works in a multicultural team environment to perform a plethora of administrative tasks.

  • Assists with ongoing initiatives, projects, and special projects as assigned.

  • Collaborates with others to address our business partners’ concerns.

  • Helps to research and compile data for stakeholders.

  • Provides recommendations for new procedures or best practices to improve efficiency. 

  • Gathers, compiles, and enters data, producing routine reports and documents.

  • Produces a variety of documents, including handouts, fliers, newsletters, brochures, and manuals.

  • Answers the telephone, routes calls, or takes messages; responds to and/or directs inquiries in person or on the telephone.

  • Maintains tracking spreadsheets by liaising with team members for project status updates.

  • Operates office equipment such as copiers and fax machines.

Knowledge & Skills

Must possess required knowledge and skills and be able to explain and demonstrate, with or without reasonable accommodations, that the job's essential functions can be performed. 

  • Ability to communicate clearly orally and in writing, listen to co-workers' directives, and provide exemplary customer service to a multicultural group of business partners.

  • Self-motivated individual who can work independently or as part of a team.

  • Pays attention to detail and follows through on work assignments.

  • A responsible person who adheres to the College’s protocols and guidelines.

  • Maintains the confidentiality of work-related information and materials. 

Technology Skills

  • Use a variety of spreadsheet, word processing, database, and presentation software.

  • May also use social media, work with desktop publishing, and update webpages.

Physical Requirements

  • Work is routinely performed in a standard office or similar environment.

  • Subject to standing, walking, sitting, bending, reaching, kneeling, pushing, and pulling.

  • Occasional lifting of objects up to 20 pounds.

Safety

  • Work safely and follow safety rules.

  • Report unsafe working conditions and behavior.

  • Take reasonable and prudent actions to prevent others from engaging in unsafe practices.
