Job Summary
Performs clerical accounting duties in support of the organization's Accounts Payable (AP) function. Responsible for properly documenting and paying invoices while verifying accuracy and compliance with organizational policies. Reviews and verifies internal consistency, completeness, and accuracy of all documentation and adjusts as needed.
Key Responsibilities
· Processes purchase orders (PO) and non-PO invoices within the system of record, verifying invoices are coded accurately and confirming receipt of goods or services. Ensures timely payments to vendors.
· Handles invoice discrepancies by directing communication between internal and external teams.
· Ensures that all credit memos for return and/or damaged items are issued by the vendor and properly documented within the AP system.
· Maintains files for vendor invoices, including submission of new vendor information or changes.
· Utilizes relevant system (i.e., SureTax) to verify that the sales tax rates are correct for items.
· Verifies account balances on monthly statements and assists in preparing payments.
· Cultivates positive relationships with suppliers, team members, and leadership.
· Supports the department on special projects.
· Assists with providing documentation for annual audits.
Minimum Qualifications (Educations & Experience)
· High school diploma, GED, or equivalent
· 1+ year of relevant experience or the knowledge, skills, and abilities to succeed in the role

Essential Knowledge, Skills, and Abilities
· Familiarity with accounting office practices and procedures, including office administration, accounting, and/or bookkeeping best practices
· Knowledge of accounting principles, financial regulations, and reporting standards
· Good communication and interpersonal skills
· Detail oriented with the ability to operate with a high level of accuracy and precision
· Good critical-thinking, data review, and problem-solving skills
· Solid time-management and organizational skills with the ability to effectively handle multiple priorities simultaneously
· Proficient in Microsoft Suits and Accounting software (i.e., QuickBooks, M-Tech, SAP, etc.)
Preferred Knowledge, Skills, and Abilities
· Associate’ s or bachelor’s degree in relevant field
Physical Demands
While performing the duties of this job, the employee may be regularly required to stand, sit, talk, hear, reach, stoop, kneel, and use hands and fingers to operate a computer, telephone, keyboard, and occasionally lift up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, depth perception, color vision and the ability to adjust focus.
Working Conditions & Travel Requirements
• Work is performed in a climate-controlled office environment.
• The noise level of the environment is usually moderate.
• Occasional travel may be required.
