The Operation Manager is responsible for day-to-day operations including facilitation of internal communication between field staff and management. Operational efficiency of daily operations to boost productivity and cut costs.  Performance monitoring tracking and analyzing performance data to ensure area goals are met.  Staffing management supervises hiring and training to maintain a skilled and adequately staffed team.  Quality assurance enforces quality control procedures to uphold high standards of patient care. Budget management track and manage the operational budget to maintain financial efficiency.  Crisis management creates and implements strategies to address operational emergencies and operational disruptions. As well as other operational support functions as assigned.

Essential Duties and Responsibilities:

  • Effectively manage and address disciplinary concerns utilizing the established policies and procedures
  • Responsible for mentoring, supervising, monitoring, directing, and developing staff (including facilitating and ensuring a positive, professional, transparent, performance-based culture), including evaluating all field employees in his/her assigned area by completing performance reviews, counseling sessions, etc.
  • Utilizes Applicant Tracking System (ATS) to screen and select potential candidates
  • Ensure adherence to field policies and processes, timely completion of required paperwork, and proper use of systems
  • Ensures maintenance of adequate levels of staffing
  • Ensure all units are properly equipped, supplied, maintained and serviced
  • Verifies and reviews call report accuracy of employees; prepares and maintains reports
  • Generally, acts as Liaison with patients, public safety agencies, training staff, hospital/contracted facility personnel, and other system users regarding operational issues 
  • Provide insight to senior management regarding current operations
  • Maintains knowledge of, implements, and enforces departmental policies, procedures, and protocols
  • Performs quality assurance for all shift incidents and related reports; reviews reports for proper medical procedures, signatures, and thoroughness; logs in each incident; prepares monthly shift reports and attends weekly operations meetings.
  • Responds to complaints, questions and requests for information
  • Partner with Human Resources to administer corrective action when appropriate in accordance with guidelines and procedures
  • Accurately document required information in EMS charts, including PCRs, vehicle inspections, and inventory checks  
  • Adhere to company and local agency policies, procedures, and protocols for emergency treatment and transportation  
  • Attend refresher programs and continuing education sessions as required by the medical director  
  • Demonstrate comprehensive knowledge of EMS procedures and apply them effectively  
  • Ensure cleanliness of equipment and replace used or damaged supplies  
  • Ensure timely submission of timesheets and other payroll documentation  
  • Handle scheduling, hiring, evaluation, management, and disciplinary actions concerning station employees  
  • Lead, guide, and assist in training lower-level personnel and/or students as assigned  
  • Maintain a professional, courteous, ethical demeanor, collaborate effectively within a team environment  
  • Maintain organized and current station files and manuals  
  • Maintain professional interactions with healthcare personnel and patients, including those with disabilities or injuries  
  • Manage day-to-day inventory and supply ordering  
  • Provide verbal or written reports to higher healthcare facilities  
  • Safely operate and maintain emergency vehicles in compliance with relevant laws during patient transportation  
  • Deliver competent patient care in pre-hospital and inter-facility settings  
  • Schedule preventive maintenance/vehicle repairs and liaise with the Fleet Manager to address vehicle issues  
  • Provide Lift Assist and demand truck deployment as needed
  • May be required to administer first aid to injured coworkers when necessary.

Physical Requirements:

  • Must be able physically able to operate a variety of vehicles and equipment as required to mee the essential job functions of an EMS provider.
  • Involves bending, sitting, kneeling, moving and lifting patients and equipment.  
  • Must be able to drive/ ride in an ambulance for extended periods of time without issue.
  • Physical agility necessary to lift and move patients safely.  
  • Physically strenuous and can be emotionally challenging.  

Qualifications:

  • Approximately 3-5 years recent years of recent EMS experience as an Emergency Medical Technician or Paramedic
  • Must possess a valid motor vehicle operating license, with continued safe driving history                         
  • Must have the ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals, written, oral or diagnostic reports
  • Must have the ability to effectively interact and communicate with patients, co-workers and administration
  • Certified EMT/Paramedic License for your state of employment
  • NREMT specific certification with ability to obtain reciprocity is required prior to start date.
  • PALS (Pediatric Advanced Life Support)
  • BLS (Basic Life Support)
  • ACLS (AHA) or ALS (American Red Cross) certification recommended *Paramedics and CCP only.
  • Self-confidence, emotional stability, good judgment, and tolerance for high stress
  • Current CPR
  • Approximately 5-7 years recent years of recent EMS experience as an Emergency Medical Technician or Paramedic
  • Strong Management and prioritizations abilities
  • Experience with Fleetio, Operative IQ, Samsara and Traumasoft systems for operational oversight.
  • Proven ability to lead and mentor teams while fostering accountability.
  • Excellent communication, problem-solving, and decision-making skills.
  • Experience overseeing multiple cost centers with a focus on strategic resource management.
  • Strong time management and prioritization abilities.
  • Experience with Fleetio, Operative IQ, Samsara and Traumasoft systems for operational oversight.
  • Proven ability to lead and mentor teams while fostering accountability.
  • Excellent communication, problem-solving, and decision-making skills.
