The Business Operations Department at the Rosenstiel School of Marine, Atmospheric and Earth Science at the University of Miami has an exciting full time temporary position for a Sr. Financial Assistant. Thesuccessful candidate will assist with the financial operations by monitoring, supporting, and evaluating grant activities and research accounts from proposals and award set-up to closeout within the assigned department(s) to ensure compliance with applicable University, State and Federal policies.
Duties and Responsibilities:
- Complete all forms required by each specific application submission and obtains signatures from faculty and all
- other required school approvers.
- Review proposals and ensures all documentation is correct and ready for submission.
- Initiator and coordinator for multi-step proposal/contract submission in the internal processing system; tracking
- progress, problem solving obstacles, and ensuring its completion throughout.
- Prepare sub-contracting documents as required by the award and submit to ORA contracts for negotiations.
- Maintain award information current, process budget continuations, re-budgeting requests, no cost extensions,
- funding requests and generates required award reports.
- Prepare budget plan and ensures relevant documentation and budget justification are submitted, and verifies all
- information is correct in Workday.
- Prepare, review, and verify budgets with specific attention to effort and salary, travel, subcontracts, consultants,
- equipment and indirect costs if applicable.
- Review account attributes in Workday, create budget plans and submit information to central offices, and verify
- budget in Workday system.
- Maintain salary projection spreadsheet for each faculty, their lab, staff, and students and advise HR of salary
- funding issues that might require a lay-off letter for research faculty and research staff.
- Enter costing allocations in Workday as per faculty approved salary projection spreadsheet.
- Input and extract data from various business application systems, provide information to faculty and staff as
- needed.
- Provide assistance and consult with departments in preparing cost and budget analysis and fiscal allocation, as
- well as developing administrative efficiencies. Create financial reports, reconciliations, and review irregular and
- unusual transactions for resolution.
- Monitor the effective indirect cost (IDC) yield across all submitted proposals.
- Exercises discretion and independent judgment in daily activities.
- Responsible for creating and sustaining a collaborative work environment where personnel are treated
- respectfully, ethically and professionally at all times; responsible for building positive and productive
- relationships with colleagues at all levels and departments across campus.
- Support the Finance Manager and Associate Director of Finance operationally and with other projects as
- needed.
- Performance, at the highest professional level, of all other duties as may be assigned.
QUALIFICATIONS
- A bachelor’s degree in Finance, Accounting, Research Administration or related field is preferred.
- Two years of progressively responsible experience, preferably in an academic and research setting.
- Experience in research administration highly preferred.
- Strong accounting and analytical skills, and knowledge of general accounting principles.
- Ability to work in a complex environment with the skills to manage multiple tasks and deadlines, establish
- priorities, set objectives, and achieve stated goals.
- Ability to work as a team or independently.
- Appreciation for organizational subtleties and a high level of discretion.
- Excellent oral and written communication skills.
- Excellent computer (specifically Excel) and organizational skills.
- Strong customer service focus.
- Attention to detail.
- Ability to learn quickly.
