Position Summary
Working as part of the tight-knit Litigation and IP team in the Managing Clerk’s Department you should be flexible in your approach and keen to develop your professional knowledge in a fast-paced and stimulating working environment.
This role is a manager for all members of the Managing Clerk’s Department. Although primarily focused on day-to-day operational matters, you will also work across a wide range of projects. You can anticipate unforeseen challenges and must be both resilient and pragmatic in your approach to managing change.
Supporting our Partners, Technical Advisors and Paralegals, you will develop a good understanding of our Litigation and IP Practice along with many administrative duties and projects.
Duties and Accountabilities1
- Oversee the daily operations of the department, ensuring work is completed efficiently and accurately.
- Maintain and manage the firm's docketing system, ensuring all deadlines, court appearances, and case information are accurately recorded and communicated to attorneys.
- Review drafts to ensure basic compliance with court rules and procedures in advance of filings.
- Provide guidance and insight regarding state and federal electronic filing processes.
- Advise case teams on procedure and practices for both state and federal courts.
- Coordinate legal services with vendors, such as hard copy filings, service of process, retrieval of documents, transcripts etc.
- Act as liaison with court personnel - establish and maintain good working relations with court personnel, process servers, and couriers
- Train, mentor, and manage employees of the Managing Clerk’s Office staff to ensure high performance and exceptional customer service.
- Regular check-ins with department clerks to assess their workload and ensure alignment with team objectives.
- Monitors rules and procedures and stays informed of changes that effect docketing and calendaring function.
- Develop and assess litigation-support objectives, initiatives, and procedures to ensure the delivery of consistently exceptional services.
- Updates and maintains federal court bar admissions and renewals database, includes collecting, maintaining, and updating admission information.
- Oversee the department’s software for technical issues, trouble-shooting with vendors, and suggesting solutions
- Meet regularly with the Managing Attorney to discuss workload, feedback, and concerns.
- Working with the Managing Attorney to develop orientation presentations and training programs.
- Interview candidates and make hiring recommendations to Managing Attorney
- Collaborate with General Counsel and COO to mitigate risk and increase department’s efficiency.
- Foster a collaborative team culture, promoting open communication and teamwork.
Qualifications
- 10+ years’ experience working in a Managing Attorney’s/Clerk’s office at a large law firm.
- Advanced knowledge of federal and state court rules and filing systems, including CM/ECF, PACER, and state-specific e-filing systems.
- Proficiency with docketing and case management software, such as CourtAlert, Milana or Compulaw.
- Supervisory experience.
- Familiarity with regularly used third party vendors, such as Courthouse News, CourtAlert, Bloomberg Law, PacerPro, and ECFx.
- Profciency in searching for and retrieving information from court-related databases and other online sources of case information.
- Strong understanding of the litigation process and workflows.
- Ability to handle, prioritize, and complete assignments with competing deadlines.
- Attention to detail and a high level of accuracy in all work activities.
- Positive, resourceful, and flexible approach.
- Excellent written and verbal communication skills.
