JOB SUMMARY:
The Scanning Clerk is responsible for accurately scanning, indexing, and maintaining patient medical records and administrative documents into the electronic health record (EHR) system. This role ensures timely and secure handling of sensitive health information in compliance with HIPAA and organizational policies.
ESSENTIAL DUTIES:
Document Handling & Scanning:
- Receive, prepare, and organize paper documents for scanning into the electronic health record (EHR) system.
- Scan and index documents to the correct patient chart, document type, and encounter date.
- Ensure high-quality, legible scans and proper image orientation and resolution.
Quality Assurance:
- Review scanned documents for accuracy and completeness.
- Identify and correct scanning or indexing errors.
- Report any discrepancies or quality issues to the supervisor or health information management (HIM) team.
Record Management:
- Maintain and secure physical documents before and after scanning according to retention policies.
- Assist with filing, retrieving, or purging medical records when necessary.
- Ensure confidentiality and compliance with HIPAA and patient privacy regulations.
Communication & Collaboration:
- Communicate with clinical and administrative staff to resolve documentation issues.
- Respond to requests for scanned records or information in a timely and professional manner.
- Support the HIM or medical records department in other clerical tasks as needed.
Work Environment & Schedule:
- Healthcare setting such as a hospital, clinic, or medical office.
- Standard business hours (Monday–Friday), with possible evening or weekend shifts depending on volume.
- Frequent sitting, standing, and handling paper documents.

Qualifications
QUALIFICATIONS:
MINIMUM
- High School diploma or GED required.
- 1+ year of clerical, administrative, or healthcare office experience preferred.
- Familiarity with document scanning equipment and electronic health record (EHR) systems.
- Basic knowledge of medical records handling and confidentiality standards.
- Strong attention to detail and accuracy.
- Good organizational and time management skills.
- 1+ year of clerical, administrative, or healthcare office experience preferred.
- Experience in a healthcare or medical records environment.
- Understanding of HIPAA regulations.
- Prior use of scanning and indexing software (e.g., Athena, Epic, Cerner).

MELISSA MEMORIAL HOSPITAL:
Melissa Memorial Hospital is a 15-bed critical access hospital, located in Holyoke, Colorado. While being “rural” we are equipped for any situation. It is a model rural hospital with 1 operating room, surgical procedure room, 4 bay emergency room, and radiology including 64-slice CT scanner and mammography, MRI, ECHO, and Nuclear Medicine, along with other ancillary services. The hospital is co-located with a family practice clinic and retail pharmacy services. Other services include chemotherapy, general & orthopedic surgery, podiatry, cardiology, orthopedic surgery, progressive rehab services, and wound care. MMH operates a full-time EMS service and maintains a 24/7 AirLife Helicopter base.
