The Parts Manager is responsible for managing all aspects of the parts department to ensure the efficient distribution, inventory control, and profitability of parts operations. This role supports internal service teams, external customers, and rental operations by maintaining optimal inventory levels, delivering exceptional customer service, and achieving key performance indicators (KPIs). The Parts Manager plays a vital role in contributing to the success of dealership operations and customer satisfaction.  


Requirements

Operational Management 

  • Oversee parts department operations, including inventory management, order processing, and distribution across [number of locations]. 
  • Monitor and manage key performance indicators (KPIs), including: 
  • Days of Inventory on Hand: Maintain optimal stock levels to balance availability and turnover. 
  • Order Fill Rate: Achieve and exceed order fulfillment goals. 
  • Open Order Management: Ensure timely closure of orders to maintain workflow efficiency. 
  • Backorder Management: Reduce backorders through proactive planning and vendor communication. 
  • Vendor Management: Cultivate and maintain strong relationships with OEMs and suppliers to optimize pricing and lead times. 
  • Inventory Management 
  • Conduct regular inventory counts, including annual 100% inventory reviews, to ensure accuracy and compliance with company policies. 
  • Maintain detailed records of inventory movements and reconcile discrepancies promptly. 
  • Implement processes for managing consumable items (e.g., oil, lubricants, fasteners) using weight or count for large quantities. 
  • Ensure all parts are assigned correct BIN locations in the ERP system. 

Customer Service 

  • Deliver exceptional service to internal and external customers by providing accurate and timely parts availability, order updates, and issue resolution. 
  • Collaborate with the service department to ensure alignment on parts availability for work orders and proactive communication of delays. 

Leadership and Team Development 

  • Lead, train, and develop a high-performing parts team, including Parts Associates and Parts Warehouse staff. 
  • Establish clear goals and expectations for team members, providing regular feedback and performance evaluations. 
  • Foster a culture of accountability, continuous improvement, and customer-first service within the department. 

Process Improvement 

  • Develop and implement standardized processes for inventory management, order fulfillment, and vendor communication. 
  • Identify opportunities for cost reduction and operational efficiency, such as liquidation of excess stock through discounts or returns. 
  • Leverage ERP system capabilities to enhance inventory accuracy and reporting. 

Financial Oversight 

  • Manage parts department budget, including expenses, profit margins, and cost control. 
  • Review financial reports regularly to identify trends and opportunities for improvement. 
  • Analyze department performance metrics and develop action plans to meet or exceed financial goals. 

Daily Tasks 

  • Review open orders, backorders, and pending stock orders for updates and resolution. 
  • Monitor inventory levels and make necessary adjustments to replenish stock or reduce dead inventory. 
  • Communicate with service teams on order status and availability of parts. 
  • Conduct daily team meetings to align priorities and discuss progress on KPIs. 

Weekly Tasks 

  • Review and report on departmental KPIs, addressing any performance gaps. 
  • Hold training sessions or team discussions to address operational challenges or updates. 
  • Meet with vendors and suppliers to discuss lead times, pricing, and performance. 

Monthly Tasks 

  • Conduct inventory cycle counts and reconcile discrepancies. 
  • Review aging open orders and take corrective action for closure. 
  • Evaluate financial performance, including revenue, expenses, and profit margins. 

Qualifications 

  • Education: High school diploma required; bachelor’s degree in business, logistics, or related field or equivalent work experience  
  • Experience: Minimum of 5 years in parts management or inventory control within the heavy equipment, automotive, or similar industry
  • Skills: 
  • Proficiency in ERP systems (e.g., eEmphasys or similar)
  • Strong leadership and team management skills
  • Excellent analytical and problem-solving abilities
  • Effective communication and customer service skills

Physical Requirements 

  • Ability to lift up to 50 lbs. and work in warehouse environments as needed. 
  • Standing, bending, and walking for extended periods during inventory counts or stocking activities.
