JOB SUMMARY

This position performs under the general direction of the Recreation Facilities Manager. This position manages two Village Recreation Centers and associated neighborhood recreation centers assigned to these centers and all operations including part time staff training and development. Oversee programming at assigned centers in differing capacities. Coordinate events with media, and Maintenance, Entertainment, and Special Events departments. Plan and implement indoor and outdoor recreational activities and educate staff and residents on department programs and policies. Ability to schedule two multi-faceted recreation centers, including all programming and other managerial functions related to the facilities. Provide a friendly, welcoming atmosphere which encourages residents and guests to participate in recreation activities and promotes a safe, hospitable recreation environment. Ensure the conformance of Recreation Department and District policies at Recreation centers by following the required protocols and procedures.

ESSENTIAL DUTIES AND RESPONSIBILITIES (Includes, but not limited to)  

General/Administrative

  • Supervises activity or recreational staff and volunteers including work schedules, daily walk through of facility, planned lessons, leagues, socials, and special events.
  • Demonstrates knowledge of all recreation centers clubs, leagues and recreational activities, and be present and accessible to ensure optimal customer service.
  • Performs routine administrative duties including monitoring budget, program recordkeeping, etc.
  • Handles conflict and complaints to resolve and work towards a successful resolution with residents and staff.
  • Interacts and communicates with various volunteer groups and staff daily.
  • Instructs verbally and through demonstrations individuals and /or groups in lessons, and rules and regulations of sport activities as needed.
  • Builds a working rapport with club/event contacts to ensure policy updates are practiced consistently with all activities.
  • Designs and prepare computerized room layouts for scheduled events and club meetings and interact with event representatives to make sure they are satisfied.
  • Conducts room inspection prior to and after meetings to ensure everything is in safe working condition.
  • Exhibits readiness to start promptly at the scheduled shift beginning, complete assigned shifts as an active team member.
  • Abides by department dress code at all times, wearing proper attire to perform all job duties.
  • Keeps current with District and Department policies and changes/updates to ensure the ability to abide by and enforce same as it relates to daily duties and responsibilities.
  • Assists in answering telephone calls by identifying self and facility and provide information about the recreation facility and social events to residents and guests.
  • Resides primarily in two locations, the ability to travel to other Recreation locations at Department’s request due to business needs is  also required.
  • Works after hours and weekend scheduling will be required to help with Senior Games, Lifestyle Events, and Global Events.
  • Performs on-call weekends as assigned.
  • Assists Director of Recreation, Recreation Manager, RAM’s, RFM’s and Recreation Supervisors in the performance of assigned responsibilities as needed.

Events/Activities

  • Assists Recreation Assistants in room setups and breakdowns as schedule requires.
  • Plans, implements, and evaluates recreational programs working within budget.
  • Plans and schedules resident activities (leagues, lessons, socials, Senior Games, and Lifestyle Events, etc.).
  • Instructs individuals and/or groups in lessons, and rules and regulations of sports activities, as needed through demonstrations and verbally.
  • Coordinates events with volunteers and resident lifestyle volunteer groups.
  • Interacts and coordinates cooperatively with Maintenance, Special Events, and Entertainment departments, media, The Enrichment Academy and resident lifestyle volunteer groups on planned events.
  • Coordinates with Entertainment and catering for event setups.

Guest ID’s

  • Assists the RSR’s with internet passes, issuing guest passes, trail fees, and registering residents/guests in Recreation Software for lifestyle events/socials.
  • Follows required ID protocol for residents and/or guests by checking and recording all resident IDs and guest passes upon their entrance to pool and at scheduled events by using scanner and/or manual count methods.

Incident Reporting

  • Follows District incident reporting protocols for all incidents related to self, residents and/or guests, including but not limited to health, safety, lost items and/or facility conditions by reporting same immediately to the Recreation Manager at the time of such incident, or no later than the end of an assigned shift.

Finance

  • Follows cash handling procedures for collecting monies.

Recordkeeping

  • Maintains recordkeeping, either manually or via computer, as directed and within designated timeframes. Recordkeeping may include, but not be limited to, entering attendance data in Event Setup Reports or other such department forms.
  • Performs monthly maintenance checks on facilities as assigned.
  • Maintains inventory and order equipment and supplies, on weekly, monthly, and yearly basis.
  • Signs off on banking transactions weekly and follow up with appropriate documentation.
  • Processes requested forms to the appropriate party on time.
  • Processes all receipts/expenditures in support of the center to  accounts payable.
  • Reviews timesheets to verify accurate hours worked by staff.
  • Monitors inventory all center’s supplies for both administrative and recreational activities and advise Recreation Facilities Manager of replenishment needs within specified timeline.

Equipment

  • Monitors inventory, routine maintenance and safety inspections of recreation facilities and equipment.
  • Monitors AC/heating temperatures for consistent comfort of residents, guests, and staff.
  • Maintains continuing training for all Recreation Assistants on use and maintenance of equipment and required forms.
  • Stays current on operation of the sound system, lighting system, and audio-visual equipment.
  • Trains recreation assistants in the operation of all audio and video equipment.
  • Maintains continuing training for all Recreation Assistants on use of equipment, required forms, and maintenance of equipment.
  • Monitors vehicle maintenance for Recreation trucks, including fuel, fluids, tire condition, regular oil changes, windshield wipers, etc. Be proficient in the use of all recreation equipment including, but not limited to, sports equipment, lighting and sound equipment, LED projectors, A/C regulators, etc.

Supervision

  • Train new Recreation Assistants in all phases of their job descriptions.
  • Perform yearly job performance review evaluations of staff.
  • Conduct staff training on sports, socials, computers and District policies and procedures.

Additional                                                                              

  •      Performs other duties as assigned.
  •      May be expected to perform additional duties in an emergency.

MINIMUM EDUCATION AND EXPERIENCE (Includes, but not limited to)

  • Bachelor’s Degree from a four-year college or university, and two to three years related experience/and or training.

 

MINIMUM CERTIFICATES, LICENSES, REGISTRATIONS

  • CPR/AED training.
  • Member of FRPA.
  • Certified Park and Recreation Professional (desired, but not necessary).
  • Valid Florida Driver’s License required.
  • All candidates and employees must successfully pass background screening. 

MINIMUM KNOWLEDGE, SKILLS AND ABILITIES (Includes, but not limited to) 

Knowledge

  • Proven understanding of the principles and practices of public administration, including personnel and budget administration, along with the philosophy and objectives of Public Recreation, Psychology and Sociology. 
  • Knowledge of equipment and materials used in conductive learning environments.  

Skills

  • Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, area, circumference and volume, and ability to apply concepts of basic algebra and geometry.
  • Ability to add, subtract, multiply and divide in all units or measure, using whole numbers, common fractions and decimals; ability to compute rate, ratio, and percentage; and ability to draw and interpret bar graphs.
  • Must be proficient in personal computer skills including electronic mail, recordkeeping, routine data base activity, word processing, spreadsheets, graphics, etc.

Abilities

  • Ability to supervise/manage/direct the selection, training, development, appraisal, and work assignments of personnel.
  • Ability to read, analyze and interpret general business periodicals, professional journals, technical procedures, and government regulations.
  • Ability to write reports, business correspondence, and procedure manuals.
  • Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the public and have a professional appearance and demeanor.
  • Ability to work after hours and weekends when needed.
  • This position is subject to moderate physical activity performing somewhat strenuous daily activities of a primarily administrative nature.
  • Strong work ethic and commitment to providing optimal customer service.
  • Well organized and able to successfully prioritize responsibilities in a fast-paced environment to meet multiple demanding deadlines.

Position regularly requires the use of:

  • Recreation equipment including but not limited to: sports equipment, scanners, sound and lighting equipment, LED projectors, A/C regulators, etc.
  • Office equipment, including but not limited to telephones, personal computers, and productivity software.
  • District vehicle (truck, car, or golf cart).
