The Role:
The Accounting Manager will oversee all accounting activities within the department, maintain CHSC’s accounting infrastructure, and prepare accurate and timely financial statements. This is a hands-on role responsible for Accounts Receivable (A/R), Accounts Payable (A/P), Purchase Order (PO) processes, and banking functions.
The position supervises two staff members who manage day-to-day A/R and A/P operations, and the Accounting Manager will also be responsible for cross-training the team. The accounting office operates in a close-knit environment that fosters collaboration to meet the organization’s financial and operational needs.
This role has opened due to the upcoming retirement of a long-term team member. The successful candidate will benefit from a structured transition period, including training by the current employee, ensuring the Accounting Manager is fully prepared to assume responsibility.
Essential Responsibilities:
- Monitor and improve financial systems and processes: collaborate with CHSC departments (Admissions, Development, Finance, HR, Chapel Haven Programs), donors, and grantors to gather data, understand business requirements, and provide financial insights. Identify and implement process and system improvements.
- Implement and strengthen internal controls to mitigate risks and maintain accurate records. Oversee bank reconciliations, banking relationships, monthly and annual closings, Accounts Receivable (A/R), Accounts Payable (A/P), balance sheet, and payroll imports.
- Facilitate external audits and ensure compliance with accounting standards and regulatory requirements.
- Supervise and set priorities for accounting office staff.
- Oversee state DDS (Department of Developmental Services) billing and reconciliation for services provided to Chapel Haven community members.
- Review online bank accounts daily to monitor deposits, withdrawals, and cash flow, making transfers as needed.
- Coordinate with departments to ensure invoices are accurate and processed on time; monitor billing changes tied to services provided.
- Partner with the Development Department to reconcile income records with bank deposits and the accounting system.
- Manage yearly 1099 reporting, quarterly state sales tax returns, and other government reporting requirements.
- Leverage strong computer skills, including Excel, to maximize efficiency and accuracy in the accounting office.
Minimum Education Requirements:
Bachelor’s degree in Accounting or Finance and a minimum of 5 years of relevant experience, or an equivalent combination of education and experience.
Required Knowledge, Skills and Abilities:
· Strong computer and software skills, including advanced proficiency in Excel.
· Excellent organizational skills with strong attention to detail and the ability to meet multiple deadlines accurately.
· Ability to work independently, prioritize tasks, and take a proactive approach to completing daily and monthly activities.
· Strong verbal and written communication skills.
· Excellent customer service mindset with the ability to collaborate effectively and build strong working relationships across departments.
· Demonstrated ability to function as both a leader and a team player.
· Preferred: Knowledge of AccuFund or similar non-profit accounting software.
