KWM Melbourne’s exceptional Business Services team are on the lookout for a Switchboard Operator with a flair for providing excellent customer service.

Role Detail

We are on the lookout for a polished and professional Switchboard Operator to join our Melbourne team. In this role you will be responsible for answering calls that come through to the Switchboard and responding to requests in an efficient and professional manner. This role also involves providing administrative support to the broader Business Services team.

We are looking for someone who is proactive, a team player and who has the technical skills to hit the ground running. This is a part-time permanent role working 9:30am to 6:00pm, Tuesday to Friday, with flexibility required on occasion.

Your day will involve:

  • Answering and managing calls efficiently with a professional and helpful manner
  • Transferring callers promptly to the appropriate staff member or department
  • Processing incoming faxes accurately and promptly
  • Monitoring shared mailboxes and actioning requests in a timely manner
  • Processing Business Services and Hospitality invoices by due dates
  • Coordinating after-hours services (e.g. air-conditioning, couriers, photocopying, IT and Word Processing support) when required
  • Liaising with Building Management and Security on tenancy issues, escalating to the Business Services Manager where necessary
  • Supporting OHS standards by helping maintain a safe and secure tenancy (e.g. identifying and addressing potential hazards)
  • Providing support to the Business Services Team as requested by the Switchboard Team Leader and / or local Business Services Manager

About You

  • Proficient in MS Office with a desire for experience with legal systems such as Elite 3E and iManage
  • Experience as a Switchboard Operator, Receptionist or similar role within a professional services environment
  • Knowledge of Business Services functions (mail, courier, switchboard, records management)
  • Strong written / verbal communication and professional phone manner
  • Excellent client service skills
  • Effective time management with ability to prioritise and handle multiple tasks
  • Self-motivated, proactive and solutions-focused
  • Adaptable and team-oriented
  • High attention to detail and commitment to quality work
  • Willingness to work outside core business hours if required
