Job Description:
POSITION SUMMARY: Under the direct supervision of the Manager – Licensing & Enforcement, provides customer service to the public and general clerical duties related to the administration of business licensing and permits.
MAJOR RESPONSIBILITIES:
- Receives new license applications or renewals, reviews for completeness, distributes to other Departments for information, and assembles file for Management review.
- Provides customer and clerical support for various business applications, permits, and licenses.
- Responds to electronic, telephone and counter inquiries.
- Accepts and processes payments, records all cash receipts from the public, and prepares refunds and bank deposits.
- Assists in the preparation and distribution of various standard letters and notices relating to a variety of licensing and permitting activities.
- Provides clerical support required to maintain and update licensing by-laws and associated forms and procedures.
- Provides clerical services, including but not limited to distributing incoming mail; web editing, electronic accessibility, creating and formatting electronic reports, presentations and content, filing, typing, formatting, scanning, copying, faxing and mailing a variety of correspondence, documents, and forms.
- Maintains records and inputs data into records-management applications and reports on data.
- Performs record management activities, along with manual and computerized filing, archiving and searches, including FOI/MFIPPA requests.
- Provides back up to Dispatch Clerk as required
- Performs such other related duties as may be assigned.
QUALIFICATIONS:
Education/Experience:
- Diploma in Administration, Business, Legal or related discipline; or
- A certificate in administration, Business, Legal or related discipline and two years of clerical experience; or
- An equivalent combination of education and experience
Skills/Abilities:
- Must be capable of dealing with the public in a tactful and courteous manner
- Must be at an intermediate skill level in keyboarding, and basic word processing and basic spreadsheet software
- Demonstrated interpersonal, verbal and written communication skills
- Excellent organizational skills
CONDITIONS OF EMPLOYMENT:
- Must undergo a successful Criminal Record and Judicial Matters Check (CRJMC)
