WHO WE'RE LOOKING FOR

The Supervisor Transit Store reports directly to the Director, Revenue and Fares.  This position is responsible for the overall operations of the CapMetro Transit Store, including responsibilities for staffing and staff performance, retail operations, identification card issuance, lost and found recovery, and walk-in customer service functions.

Responsibilities

WHAT YOU'LL BE DOING
Note: The duties and primary responsibilities below are intended to describe the general content of and requirements of this job and are not intended to be an exhaustive statement of duties. 

  • Ensure fulfillment of the Transit Store functions: Pass and merchandise sales, issuance of CMTA customer identification cards, Discount Pass Program, HEB orders, inventory control, ODR management, Oracle entries, lost and found recovery, general customer inquiry assistance and customer complaints.
  • Develop, maintain and document effective back-end processes and inventory controls to support these functions.
  • Oversee the intake of inventory from Treasury and Marketing, and the issuance of inventory to the cashiers - inclusive of accountability for all inventory and sales transactions, including cashier closeouts by the Transit Store CSRs.
  • Manage and oversee the point-of-sale system, including issuing and monitoring cashier inventory, performance reporting, cashier auditing, and making necessary changes and upgrades to the system.
  • Discount Pass Program: Receive, record and ensure Discount Pass Program (DPP) orders are filled and processed in accordance with required procedures. Respond to customer inquiries, monitor that only approved organizations order DPP program passes, provide customers program updates.  Prepare end of month DPP reports.
  • HEB Orders: Receive HEB orders from Corporate HEB headquarters, coordinate that requisitions for orders are entered in Oracle by Accountant II, ensure that Transit Store staff prepares ODR, pulls together and delivers order to requesting HEB.  
  • ODRs (Order Delivery Receipts): Ensure that all pass orders and billing of such orders not processed through Point-Of-Sale System or e-commerce/online web site are tracked on an ODR and when applicable recorded in Oracle.   Maintain scanned copies of all ODRs in Transit Store SharePoint.
  • Inventory Controls – Oversee the intake of pass inventory and issuance of inventory to cashiers - inclusive of accountability for all inventory and sales transactions, including cashier closeouts by the Transit Store CSRs.  Ensure the Transit Store facility is well maintained and stocked with current materials and displays.
  • Oracle Entries – Record in Oracle all transactions that involve sales, distributions/issuance, transfer, receipts of passes including HEB orders, cashier inventory requests and returns, MetroWorks sales, Online Bytemark sales, internal complimentary distributions.
  • In coordination with the Cash Operations Manager, prepare end-of-month POS reconciliation reports confirming sales and deposits are documented and accurate.
  • Policies and Procedures – Develop and implement policies and procedures necessary for the Transit Store staff and processes. Create written procedures for policies and procedures. Take initiative and champion process improvement.
  • Employee Schedules and Transit Store coverage Develop and maintain employee schedules to ensure proper coverage during hours of operation.  Assist customers when sufficient staff is not available to ensure continuous Transit Store operations.
  • Supervise and mentor permanent and temporary Transit Store Customer Service Representatives to ensure they follow required processes and procedures, receive information on changes and have the equipment needed to perform assigned tasks.
  • Oversee Transit Store records management process and work with the Coordinator of Records Management to ensure compliance with the records management program, providing assistance and guidance to department staff.
  • Track and report on Transit Store functions.
  • Represent the Transit Store on cross-functional teams and initiatives.
  • Prepare operational reports as requested.
  • Support Capital Metropolitan Transportation Authority’s Safety Management Systems (SMS) process by following safety and security policies, considering safety in every action and reporting safety and security concerns.
  • Perform other duties as required and/or assigned.

Qualifications

WHAT YOU BRING

  • Bachelor’s degree in Business Management or related field.  Related experience may substitute for education on a year per year basis for up to four years.
  • Three (3) years of progressively responsible experience in an administrative position including supervisory or management experience.
  • Three (3) years’ experience using word processing, database and spreadsheet software; prefer experience using MS Word, Access, and Excel.
  • Two (2) years’ experience working with a POS system, Quick Books based preferred.
  • Bilingual English/Spanish preferred.

Knowledge, skills and abilities:

  • Knowledge of agency policies and procedures, office management, and fiscal methods.
  • Ability to analyze and solve work problems; make decisions affecting the operation of administrative services functions; and to plan, assign, and/or supervise the work of others.
  • Experience tracking department expenses, preparing purchase requisitions, budget, and status reports, managing contracts and projects, maintaining a complex filing system following established records management procedures. 
  • Excellent oral, written, and interpersonal communication skills.
  • Ability to maintain confidentiality of sensitive information.
  • Ability to manage multiple projects and meet established deadlines.
  • Ability to maintain an effective working relationship with employees, management, contractors, and the general public.
  • Ability to stand for most of the day at sales counter or while working with staff or with lost and found items.
  • Must have clean driving record and be qualified to drive using a personal or company vehicle.
  • Ability to safely lift 45 pounds, including such challenging objects as bicycles and boxes, and moving them between floors using an elevator.

WORK ENVIRONMENT AND PHYSICAL DEMANDS 
Work is generally performed in an office environment in which there is only minimal exposure to unpleasant and/or hazardous working conditions. This position works with multiple project timelines and is responsible for managing employees performing work of a complex nature. 

Incumbent must have the ability to stand and sit frequently throughout an eight-hour period, reach vertically for overhead use as well as horizontally. Must be able to use a telephone or headset equipment. 
Incumbents must be able to lift and move material weighing up to 20 lbs., perform work at a computer terminal for 6-8 hours a day, and function in an environment with constant interruptions.

Mobility Status:
As a Stationed position, the incumbent is expected to be assigned an individual workspace. Expected to work in the office 5 days a week. This role is based in Austin, Texas and requires relocation to the Austin, Texas area prior to start date.

SECURITY SENSITIVE POSITION
This position has been identified as a “Security Sensitive” position. CapMetro will conduct annual background checks on incumbents in this position. A position is “Security Sensitive” if the incumbent handles currency, has access to sensitive computerized databases, has access to master keys, or works in an area of the CapMetro that has been designated as a security-sensitive area.
