About the Department

Applications are being accepted by the Department of Public Works for a full-time Program Coordinator to perform complex, diversified, and highly specialized technical and administrative duties in support of the Department's service programs and projects. Working collaboratively with other program coordinators in the Department, responsibilities include providing overall management/coordination of the day-to-day business operations of a work unit; coordinating administrative aspects of the City's on-demand bulk pickup program; performing detailed project research; coordinating the work of contractors and vendors; resolving service issues; investigating and responding to complaints; inputting data into databases from a variety of sources; and assisting with planning, preparing, and monitoring budgetary activities for designated program areas.

The ideal candidate will possess strong organizational, customer service, time and resource management, and multi-tasking skills; have excellent attention to detail; and exceptional interpersonal and communication (verbal and written) skills to interact with staff at all levels, City officials, residents and business owners, contractors and vendors, and other stakeholders. The ability to accomplish tasks under pressure and before deadlines on a consistent basis and proficiency in leveraging technology to enhance efficiency are essential. Must be able to anticipate and address issues and exercise appropriate judgment when executing tasks and proactively provide assistance and support whenever and wherever needed. Must be customer focused, flexible, and resourceful to adapt to changing priorities and deadlines, and able to handle last-minute changes with composure and confidence. Previous experience using Geographic Information Systems (GIS) and VUEworks (or similar asset management software) preferred.  Fluency in English and Spanish is highly desirable.

Core work schedule 8 a.m. to 4 p.m., Monday through Friday; occasional evening and weekend work is expected to fulfill the expectations of this position. Starting salary for this position is negotiable within the target hiring range ($60,000 - $68,000) and will be offered at a level consistent with the experience and qualifications of the candidate. Position Duties

What you will do with us:
  • Perform highly specialized technical and administrative procedures to prepare and/or complete program/project requirements.
  • Manage, coordinate, and track administrative and technical aspects of various Public Works projects and programs.
  • Coordinate on-demand bulk pickup scheduling; serve as a primary point of contact for residents regarding bulk pickup inquiries, issues, and special requests; maintain accurate records of bulk pickup requests, schedules, and materials collected; monitor and track responses, completion times, and customer satisfaction; assist in evaluating program effectiveness, identifying areas for improvement, and recommending strategies to enhance efficiency and sustainability; prepare and submit detailed reports.
  • Coordinate work of contractors and vendors; initiate and conduct independent field visits to review issues, performance, and improvement measures; resolve service issues; investigate and respond to complaints; order materials and maintain inventory and maintenance records.
  • Perform detailed project research, producing summaries and recommendations.
  • Manage daily communications and service requests for the work unit; serve as recipient and responder for citywide snow communications system; assure responsiveness to mechanical failures or emergency situations. 
  • Assist the work unit and department with implementation of best practices including regular coordination with the Public Works Management Team.
  • Provide overall management/coordination of the day-to-day business operations of the work unit; develop and administer policies and procedures for work process activities, projects, plans, and programs; plan, organize, direct, and participate in administrative and support services activities; manage work unit files and records including paper and electronic archiving systems; answer telephone, greet and direct visitors, and ensure appropriate office coverage.
  • Coordinate and oversee customer service processes; develop, standardize, and monitor policies and procedures to encourage feedback and improve efficiency and effectiveness of operation and delivery of services; implement changes as warranted.
  • Coordinate with other City departments and external agencies to address citizen concerns and assure appropriate resolution; facilitate a courteous customer service-oriented relationship between work units, the department, other City staff, and the general public.
  • Input data into databases from a variety of sources; create, prepare, and maintain appropriate reports; analyze information and make recommendations when appropriate.
  • Draft, prepare, maintain, and process official City documents; prepare and enter documents for public meetings.
  • Arrange and schedule meetings; prepare meeting agendas and information packets.
  • Order and purchase supplies, equipment, goods, and materials for work unit upon approval; maintain records of purchase and reconcile invoices; reconcile work unit credit card activity. .
  • Document and assist in tracking department and division performance measurement data, goals, and objectives.
  • Assist with the planning, preparation, and monitoring of budgetary activities for the work unit and designated program areas.

Minimum Qualifications

What you will need to be considered:
  • Relevant associate’s degree, with course work emphasis in business administration, public administration, administrative services, or a related field.
  • At least five (5) years of professional administrative and project coordination experience, preferably in a public works, property/facility management/maintenance, or construction setting. Additional relevant work experience may substitute for a portion of education.
  • Strong technology skills including proficiency with standard office software and familiarity with data management.  Additional skills in Geographic Information Systems (GIS) and VUEWorks (or similar asset management software) preferred.
  • Fluency in English and Spanish highly desired.
  • Strong and effective interpersonal, analytical, organizational, customer service, time/resource management, and written and verbal communication skills.
  • Detail oriented and accurate, with demonstrated ability to manage multiple tasks, prioritize workload, and work quickly and accurately under firm deadlines with limited supervision.
  • Be resourceful, diplomatic, and professional and willing and eager to assume new challenges and increased responsibility.
  • Ability to maintain the confidentiality of sensitive information.
  • Valid driver's license.
  • Or any acceptable equivalent combination of education, experience, and training that provides the required knowledge, skills, and abilities to satisfactorily perform job duties.

This is a full-time salaried "exempt" position requiring a minimum of 40 hours per week (not eligible for overtime compensation under the provisions of the Fair Labor Standards Act and the City's personnel regulations).
