Manage relationships with building management and external vendors (cleaning, security, catering).
On-site five days per week.
Oversee and collaborate with the Office Coordinator to ensure the NY office operates smoothly and efficiently.
Ensure workplace safety, compliance, and emergency preparedness.
Employee Experience Management
Create a welcoming and productive environment for employees, visitors, and partners.
Manage front-of-house operations: reception, guest check-ins, and visitor flow.
Plan and execute team events, celebrations, swag, and engagement programs that foster connection across NY and SF offices.
Organize culture-building initiatives that reinforce Distyl’s values and ways of working.
Support internal communications and feedback loops to continuously improve the workplace experience.
Oversee employee services programs (perks, food, wellness initiatives).
Assist with planning and logistics for team offsites and cross-functional projects.
Onboarding Support
Deliver a smooth onboarding experience for new hires across NY and SF, including Day 1 logistics, scheduling, and in-person support.
Coordinate onboarding communications, account setup, and monthly onboarding cohorts.
Budget & Vendor Management
Own office budget for supplies, food, events, and vendor contracts.
Negotiate with vendors for cost savings and quality.
Qualifications:
4–6+ years in office management, workplace experience, or administrative support — ideally in a startup or fast-paced environment. Event planning experience a plus.
Proven ability to run operations smoothly while building engaging culture programs.
Strong organizational and time-management skills; able to manage competing priorities and sensitive/confidential information.
Exceptional attention to detail with a track record of precision in tasks and processes.
Excellent verbal and written communication skills, with the ability to collaborate effectively across teams.
A proactive and resourceful mindset, with a knack for identifying and resolving operational challenges efficiently.
Experience in high-growth or tech/start-up environment preferred.
What We Offer:
Competitive salary and benefits package, including equity options and healthcare.
The opportunity to work at a mission-driven AI startup that is transforming how Fortune 500 companies operate.
A fast-paced, dynamic work environment where your contributions will directly impact the company’s success.
A collaborative culture that values professional growth and encourages taking on new responsibilities.
Exposure to cutting-edge AI technologies and the opportunity to support a world-class team.
If you are a proactive, detail-oriented professional who excels in supporting high-powered teams, we encourage you to apply and join our mission of enabling the future of AI-powered enterprises.
